Job Title

Records Clerk

Department

LaSalle Police Service

Reports To

Director of Corporate Services

Under the supervision of the Director of Corporate Services and the Staff Sergeant in charge of Community Patrol, the Records Clerk will be responsible for several areas including, but not limited to, Court Services, Freedom of Information requests, Police Record Checks, payment processing, and data entry. Please note, this position requires on-site attendance and is not a remote opportunity.

Requirements

- Process court documents and disclosure packages for Criminal & Provincial Offences Courts
- Process incoming civilian summonses and subpoenas and officer subpoenas
- Data entry
- Process Provincial Offence Notices
- Process Parking tickets
- Freedom of Information intake and analysis
- Quartermaster - assist with equipment procurement
- Track and report on weekly Police Records Check revenue
- Receive payments
- Process Police Record Checks and Record Suspensions (Pardons)
- Working knowledge of Court processes
- Compile training packages for Officer and Civilian education and training
- Process disclosure requests for Motor Vehicle Accidents
- Complete training as required
- Document and recommend changes to processes for efficiency as required
- General office duties
- And other duties assigned by the Chief of Police

Qualifications

- Minimum one (1) year Office Administration (General) Certificate or equivalent
- One (1) or more years of previous related experience
- Valid Class "G" driver's license

Other Qualifications Relationship Building: strong ability to foster positive relationships with the public, municipal staff, external agencies, and internal teams. IT Knowledge and Experience: a recognized change champion with experience in information technology programs (including but not limited to Microsoft Office), software, and use.

Integrity: high moral character and ethical standards.

Communication & Interpersonal Skills: excellent verbal and written communication skills, with the ability to work effectively with diverse groups.





Self-Motivated: proactive and able to take initiative in driving tasks to completion. This includes meeting tight timelines.

Dependability: reliable attendance and commitment to fulfilling responsibilities accurately and staying organized.

Team Collaboration: able to work effectively as part of a team and contribute to collective goals.

Confidentiality: able to maintain confidentiality while dealing with highly confidential records and information.

Additional Assets

- Proven ability to generate transparent, concise, and accurate reports
- Experience with Versaterm and/or Niche
- Experience with UKG/Kronos
- Working knowledge of Records Management

Working Conditions

- Duties shall be performed both indoors and outdoors in all weather conditions
- Safety equipment as required
- Manual dexterity to use desktop computer, peripherals, etc.
- Periodic local and out of town travel required
- Operation of motor vehicle

Hours of Work

- Primary hours of work are Monday to Friday (40 hours), day shift. Overtime as required.

Physical Requirements

- Physical work environment requiring extended periods of walking, standing, crouching, bending, kneeling, climbing, sitting, and driving.
