The Elevate Aviation Learning Centre (EALC) plays an important role in this work by providing training, career development, and employment-focused programs that help learners gain the skills, knowledge, and confidence to succeed in aviation.
We are seeking an Administrative Assistant to provide day-to-day administrative and operational support to the Elevate Aviation Learning Centre. This role will help ensure programs and operations run smoothly through strong organization, accurate record keeping, learner and program administration, scheduling, data entry, and general office support.
Working closely with the Office Manager and the broader EALC team, the Administrative Assistant will help keep learner information, program documentation, resources, schedules, and administrative processes organized, current, and completed in a timely manner. This role will also provide front-of-house support and assist with the day-to-day experience of learners, staff, visitors, and partners at the EALC.
This position is ideal for someone who is highly organized, detail-oriented, dependable, and comfortable managing a variety of administrative tasks in a busy environment. The successful candidate will take pride in keeping things organized, following through on details, and providing responsive support to both the team and the learners we serve.
Key Responsibilities
- Provide day-to-day administrative support for Elevate Aviation Learning Centre programs and operations.
- Prepare welcome packages, learner materials, program resources, and other documentation for each program intake.
- Create, organize, maintain, and update physical and electronic learner files.
- Maintain accurate learner information, attendance records, certifications, completion records, and other required documentation within the CRM and learner files.
- Coordinate student certification training sessions, including scheduling with internal and external training providers.
- Support learner onboarding by preparing required documentation, technology, program information, and other onboarding materials.
- Assist with registration administration and ensure required learner information and documentation are received and complete.
- Support program scheduling, calendars, room bookings, and other program logistics.
- Prepare classrooms and program spaces prior to program start dates, including ensuring laptops, equipment, and required technology are available and functional.
- Maintain and organize program supplies, administrative materials, learner resources, and other inventory.
- Assist with the preparation, collection, and organization of end-of-program documentation, evaluations, completion records, and other required materials.
- Support general email and telephone inquiries and direct inquiries to the appropriate team member.
- Provide reception and front-of-house support,
including welcoming learners, visitors, partners, and other guests to the EALC.
- Assist with correspondence, document preparation, printing, scanning, filing, photocopying, and other general administrative tasks.
- Support data entry, reporting, information collection, and documentation requirements for programs, funders, and internal reporting.
- Maintain organized electronic filing systems, shared administrative resources, templates, and program documentation.
- Track administrative deadlines and follow up on outstanding documentation, information, or required actions as needed.
- Provide administrative support for meetings, events, workshops, and special projects, including preparation of materials and coordination of logistics.
- Support career fairs, community events, learner activities, and other initiatives from an administrative and logistical perspective, as required.
- Assist with maintaining current aviation employment opportunities, career resources, and other information available to learners and graduates.
- Support the EALC team with the preparation, organization, and distribution of program and learner communications.
- Assist with maintaining accurate contact lists, program records, checklists, schedules, and other administrative tracking tools.
- Identify administrative gaps or issues and bring them forward to the Office Manager with recommendations or solutions where appropriate.
- Ensure administrative activities are completed accurately, efficiently, and in accordance with Elevate Aviation policies, procedures, and program requirements.
- Perform other administrative duties as required to support the effective operation of the Elevate Aviation Learning Centre.
Qualification Guidelines
- Post-secondary education in business administration, office administration, or a related field, or an equivalent combination of education and experience, with two or more years of relevant administrative experience preferred.
- Experience providing administrative support within a busy office, educational, nonprofit, or community-based environment is considered an asset.
- Strong organizational and time management skills, with the ability to manage multiple priorities, deadlines, and competing requests.
- Excellent attention to detail and a strong commitment to accuracy.
- Strong written and verbal communication skills.
- Strong interpersonal skills and a professional, welcoming approach when interacting with learners, staff, visitors, partners, and service providers.
- Experience maintaining electronic and physical records and documentation.
- Experience with data entry, spreadsheets, databases, CRM systems, or other administrative information systems.
- Proficiency with Google Workspace and virtual collaboration tools.
- Comfortable learning and working within new digital platforms, systems, and technology.
- Strong computer skills,
including the ability to troubleshoot basic technology issues and support the use of laptops, printers, and other office equipment.
- Strong follow-through and the ability to independently manage routine administrative responsibilities.
- Strong problem-solving skills, initiative, sound judgment, and the ability to recognize when issues require escalation.
- Ability to maintain confidentiality and handle learner and organizational information appropriately.
- A collaborative, service-oriented approach and commitment to supporting a positive environment.
- An interest in aviation, workforce development, education, or advancing opportunities for women and underrepresented groups is considered an asset.
Work Environment
This position is a hybrid work arrangement, with the successful candidate required to work from the Elevate Aviation Learning Centre four days per week, with the option to work from home one day per week.
The Elevate Aviation Learning Centre is located at the Edmonton International Airport and offers free on-site parking. The role requires regular interaction with learners, graduates, staff, visitors, employers, industry partners, and other stakeholders.
The role involves a combination of administrative and computer-based work, reception and front-of-house responsibilities, learner and staff support, and program logistics. The position may involve intermittent physical activity, including walking, standing, sitting, and light lifting associated with preparing classrooms, moving supplies, and organizing program materials.
Compensation & Benefits
This is a full time salaried position working 40 hours per week.
- Annual salary of $62,400
