Terrick Enterprises Ltd. is seeking an organized and detail-oriented Document Control Coordinator to join our team. This position is responsible for maintaining accurate company, project, quality, and employee documentation while supporting day-to-day administrative functions.
The ideal candidate will be highly organized, comfortable managing large volumes of information, and able to maintain accurate records while ensuring documentation is current, accessible, properly controlled, and confidential where required. Strong communication skills, discretion, follow-up, and attention to detail are essential to this role.
Responsibilities
- Maintain and organize company, project, quality, and employee documentation
- Ensure documents are properly named, filed, organized, and easily retrievable
- Receive, log, distribute, and track incoming and outgoing documentation
- Maintain current revisions of controlled documents and ensure superseded versions are removed or clearly identified
- Maintain document registers, revision histories, logs, and tracking systems
- Track documents requiring review, approval, revision, submission, or follow-up
- Distribute drawings, specifications, procedures, reports, RFIs, ITPs, inspection documentation, and other project information to the appropriate personnel
- Ensure approved drawings and current project documents are available to the appropriate departments
- Maintain customer correspondence, approvals, revisions, and supporting project documentation
- Organize and maintain quality records, inspection reports, checklists, material documentation, certificates, and traceability records
- Maintain material documentation including mill test reports, certificates of compliance, coating documentation, and subcontractor records
- Assist with preparation, organization, and submission of turnover packages and project closeout documentation
- Maintain company policies, procedures, forms, templates, work instructions,
and internal records
- Coordinate document revisions and ensure updated information is communicated to affected personnel
- Follow up on missing, incomplete, or outstanding documentation
- Assist departments with document retrieval, filing, and recordkeeping requirements
- Archive completed project records in accordance with company requirements
- Maintain organized and confidential employee personnel files
- Assist with new employee onboarding documentation and orientation requirements
- Ensure required employment forms, acknowledgements, certifications, and training records are completed and filed
- Maintain employee training records, qualifications, tickets, certifications, and expiry dates
- Assist with preparing and maintaining HR forms, policies, employee documentation, and company communications
- Support recruitment administration, including organizing applicant information and scheduling interviews
- Assist with preparing employment letters, onboarding documents, and routine HR correspondence
- Maintain attendance, vacation, training, or other employee records as assigned
- Assist with coordinating employee training and maintaining associated documentation
- Maintain confidentiality when handling employee, customer, and company information
- Prepare, format, revise, and distribute company documents, forms, and templates
- Assist with internal audits and documentation reviews
- Identify documentation gaps and follow up with responsible personnel
- Help improve and standardize company filing systems,
documentation processes, and recordkeeping practices
- Provide general administrative support to management and other departments as required
- Participate in continuous improvement initiatives related to documentation, communication, and administrative processes
Qualifications
- Previous experience in document control, administration, project coordination, human resources administration, or a related role is an asset
- Experience in construction, structural steel fabrication, manufacturing, engineering, or a similar industry is an asset
- Strong organizational and recordkeeping skills
- Excellent attention to detail and accuracy
- Ability to manage multiple documents, projects, deadlines, and priorities simultaneously
- Strong computer skills, including Microsoft Office, Excel, Word, Outlook, and Teams
- Experience with electronic filing systems and document management is an asset
- Ability to understand document revisions, numbering systems, and approval processes
- Robust written and verbal communication skills
- Ability to follow established procedures and identify missing or incomplete information
- Strong follow-up skills
- Ability to work independently while coordinating with multiple departments
- Ability to handle confidential and sensitive information with discretion
- Experience with employee files, onboarding, training records, or HR administration is an asset

Pay: $26.00-$29.00 per hour
