Mississauga

Located near Square One in Mississauga, Metalworks Institute is Canada's largest and most comprehensive applied arts music school. Amongst many accolades, we've been recognized twice by our peers in the Canadian music industry as Canadian Music School of the Year. Our biggest point of pride though is the success of our alumni - whether on-stage or behind-the-scenes, our alumni are making their mark on the Canadian and global music industry!

Metalworks Institute is the educational branch of Metalworks, we are a sister company to the world-famous Metalworks Studios (recording studio) and Metalworks Production Group (live event production) and Charity SoundsUnite Canada (music education & mental wellness). Metalworks has been a pillar of the Canadian music scene for almost 50 years.

Metalworks is seeking a detail-oriented and experienced Financial Aid Administrator to join our dynamic team. This role is permanent/full-time and is based on-site in Mississauga.

About the Role

You’ll support prospective and current students by explaining financing pathways and guiding them through the enrolment and funding process. This role blends customer service, administration, and compliance, with a strong emphasis on OSAP application support, document management, and clear communication. You’ll work closely with our admissions/enrolment, student services, and leadership teams to ensure students feel confident and supported—while maintaining accurate, audit-ready records.

Responsibilities

- Provide friendly, professional front-line support to students and families regarding tuition, funding, and next steps virtually,

by telephone and in-person including at our Open House events.
- Explain financing options clearly (OSAP, payment plans, and other options as applicable), helping students choose an appropriate path
- Coach applicants through key enrolment milestones and support documentation requirements
- Support the OSAP process end-to-end: application assistance, required documents, follow-ups, and status tracking
- Maintain accurate financial aid files (digital and/or paper), ensuring completeness, confidentiality, and audit readiness
- Track deadlines and outstanding items; proactively follow up to keep applications moving
- Liaise with internal teams (Admissions, Student Success, and Finance/Accounting as needed) to ensure alignment on student funding status
- Update student records in institutional systems and maintain organized communication logs
- Prepare regular reporting for management (volumes, status summaries, exceptions, and process trends)
- Contribute to continuous improvement of checklists, templates, and student-facing communications

Qualifications

- 2+ years of experience in an administrative role involving customer service, documentation, and deadlines (education, financial services, or similar environments are strong assets)

- Demonstrated experience supporting OSAP applications and working within a compliance-driven process (preferred)
- Strong communication skills and the ability to explain complex steps clearly and empathetically
- Highly organized, detail-oriented, and comfortable managing multiple files at once
- Strong working knowledge of Microsoft Excel, Word, and Outlook; confidence learning new systems
- Ability to work independently while contributing positively to a collaborative team environment
- Professional discretion and comfort handling sensitive personal/financial information
- Experience in post-secondary, private career colleges, or student services is an asset
