People and Culture Coordinator

Altaya Specialized Home and Support Services is a growing organization committed to fostering a skilled, inclusive, and employee-focused workplace. Our People and Culture (P & C) team plays a critical role in supporting our workforce and ensuring that employees receive the resources, guidance, and support needed to succeed. We are currently seeking a highly organized and detail-oriented People and Culture Coordinator to join our team and contribute to the smooth operation of our P & C department.

The People and Culture Coordinator will provide comprehensive administrative and operational support across various P & C functions, including recruitment, onboarding, employee relations, record management, compliance, and internal communications. This role is ideal for an individual who enjoys working with people, has strong organizational skills, and is passionate about supporting employee success while maintaining accurate and confidential P & C records.

As a key member of the P & C team, you will assist with day-to-day People and Culture activities and help ensure that P & C processes are carried out efficiently and in accordance with company policies and employment regulations.

Responsibilities

Recruitment & Hiring Support

- Assist with the recruitment process by posting job advertisements on platforms such as Indeed and other recruitment platforms.
- Assist with screening applications, coordinating interviews, and completing reference checks.
- Schedule interviews and communicate with candidates throughout the hiring process.
- Prepare offer letters, employment contracts, and onboarding documentation.
- Maintain recruitment records and applicant tracking systems.
- Create and modify job descriptions to ensure roles remain clear, current, and aligned with organizational needs.
- Monitor workforce trends such as vacancies, turnover, and hiring timelines and provide recommendations to leadership.
- Support hiring managers in conducting structured and fair hiring processes.
- Maintain strong recruitment pipelines and candidate pools to support staffing stability.

Employee Onboarding & Administration

- Coordinate new employees onboarding and orientation activities to ensure new staff are properly oriented.
- Prepare employee files and ensure all required documentation is completed and maintained.
- Assist employees with P & C-related inquiries and requests.
- Maintain accurate employee records, databases, and filing systems.
- Track mandatory certifications such as First Aid, CPI, and other required training.
- Monitor probationary review timelines and support successful employee integration

P & C Operations & Compliance

- Ensure employee records remain current, accurate, and compliant with company policies and legal requirements.




- Assist in monitoring P & C procedures and compliance standards.
- Support the preparation of P & C reports, metrics, and documentation.
- Help administer employee policies, handbooks, and workplace procedures.
- Ensure compliance with BC Employment Standards, workplace regulations, and organizational policies.
- Maintain P & C documentation and support internal compliance processes when required

Employee Engagement & Support

- Support employee engagement initiatives, training programs, and company events.
- Assist with performance review of administration and employee development activities.
- Coordinate internal communications related to P & C programs and announcements.
- Foster positive relationships with employees across all departments.
- Promote respectful workplace practices grounded in relational leadership

General Administrative Duties

- Manage P & C correspondence, calendars, and meeting schedules.
- Prepare reports, presentations, and P & C -related documents.
- Organize and maintain confidential personnel records.
- Provide administrative support to the P & C Generalist and wider leadership team as required.
- Utilize internal software systems to update employee records, documentation, and P & C processes.
- Add and maintain People and Culture documentation within ShareVision and other internal platforms.
- Monitor workforce indicators including turnover, vacancies, training compliance, and staffing trends.
- Other duties as assigned by leadership to support organizational priorities, workforce stability, and the overall functioning of Altaya Specialized Home and Support Services.
- Flexibility and a willingness to assist across departments when needed are important aspects of this position.

- Support initiatives that strengthen employee engagement, recognition, and workplace wellbeing
- Assist leadership in promoting a workplace culture grounded in respect, accountability, and collaboration
- Contribute to initiatives that strengthen retention and staff satisfaction

Working Conditions:

The People and Culture Coordinator works in office environments and may occasionally travel to program sites or community locations to support operational needs. The role requires the ability to manage multiple priorities, respond to emerging workforce matters, and support leaders and staff in a dynamic caregiving workplace. The position involves regular computer use, participation in meetings,



and ongoing communication with employees and leadership. Flexibility, robust organizational skills, and the ability to remain calm and professional while managing competing demands are essential.

Qualifications:

- Diploma or Degree in Human Resources
- Human resources: 2 years (required)
- Full cycle recruiting: 2 years (required)
- Standard/Community First Aid (CPR and AED)
- Criminal Record Check
- MCFD Prior Contact Check
- Privacy Training
- Valid Class 5 Driver’s License
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong attention to detail and accuracy.
- Professional, approachable, and team-oriented attitude.
