Our client is seeking an experienced Office Coordinator to support the day-to-day operations of a professional office environment. This is a hands-on position that combines front-desk reception, facilities coordination, office services and administrative support.
The successful candidate will be highly organized, professional and service-oriented, with the ability to manage multiple priorities while ensuring the office operates efficiently and provides a welcoming experience for employees, clients and visitors.
Key Responsibilities
- Serve as the first point of contact for clients, visitors and guests, providing a professional and welcoming experience.
- Manage visitor registration, building access and security requirements.
- Coordinate incoming and outgoing couriers, deliveries and packages.
- Coordinate meeting rooms, boardrooms, catering and related meeting logistics.
- Support senior leaders and visiting employees with office and meeting requirements.
- Coordinate office supplies, staff amenities and general office services.
- Liaise with building management, contractors, vendors and service providers regarding repairs, maintenance and office requirements.
- Coordinate office furniture, equipment, cleaning, HVAC and general facilities-related services.
- Assist with office moves, space planning, renovations and workplace improvements.
- Support emergency preparedness, health and safety and office evacuation procedures.
- Assist with facilities budgets, expenses, invoices and monitoring of expenditures.
- Maintain accurate records and documentation related to facilities and office operations.
- Provide general administrative support, including word processing, data entry and document preparation.
- Help identify opportunities to improve office procedures, efficiencies and employee services.
- Work collaboratively with internal teams and external service providers to ensure a well-maintained and efficient workplace.
- Perform other related duties and special projects as required.
Qualifications & Experience
- 5+ years of experience in office coordination, reception, facilities coordination, or a similar role.
- Previous experience working in a professional corporate office environment.
- Strong customer service and interpersonal skills with a professional and approachable manner.
- Excellent organizational skills and solid attention to detail.
- Ability to prioritize and manage multiple tasks in a fast-paced environment.
- Strong problem-solving skills and the ability to work independently.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, including Word and Excel
- Experience coordinating vendors, contractors and building services is highly desirable.
- Experience supporting office moves, renovations, space planning or workplace projects is an asset
Pay: $30.00-$32.00 per hour
Expected hours: No more than 40.0 per week
