About the Position

This role plays a key part in ensuring the smooth daily operations of our office, supporting multiple departments with administrative, financial, and customer service tasks. The Administrative Assistant will report to the Office Manager and work full-time from our head office in Calgary.

We are looking for someone who is highly organized, proactive, and detail-driven, with excellent communication skills and the ability to multitask efficiently.

Responsibilities

Office Administration & Customer Service

✔ Answer and redirect phone calls in a professional, friendly manner.

✔ Greet all incoming and outgoing customers, ensuring a welcoming environment.

✔ Maintain cleanliness and organization in reception and common areas.

✔ Process and distribute mail,



including scanning and preparing outgoing correspondence.

✔ Order and maintain office supplies, stationary, and employee jersey’s.

✔ File documents accurately and efficiently.

✔ Assist with monthly internal office communications.

✔ Clean and stock snack and coffee station for customers and employees

Financial & Data Management

✔ Process daily operations orders and returns, ensuring accurate data entry.

✔ Correct billing errors and manage invoice processing.

✔ Balance and reconcile customer accounts, including EFT and cheque deposits.

✔ Process credit card payments and maintain financial records.

✔ Assist with accounts receivable, including credit reference checks and customer follow-ups.

✔ Upload invoices to online accounting portals and handle compliance documentation (WCB, COI, STAT).

Support for E&D; Department

✔ Perform data entry for E&D; daily work and outstanding material sheets.

✔ Process rental order (RO) requests.

✔ Email and upload invoices for E&D; projects.

Additional Duties

✔ Complete various administrative tasks as requested by management to support daily operations.

Qualifications

Education & Experience

✔ High School Diploma (Post-secondary education is an asset).

✔ Previous administrative or accounts receivable experience preferred.

Skills & Abilities

✔ Friendly,



outgoing personality with excellent communication skills (verbal & written).

✔ Strong proficiency in Microsoft Office, Outlook, and Excel.

✔ Experience with Microsoft Business Central is an asset.

✔ Highly organized and detail-oriented, with a proactive approach.

✔ Ability to multitask efficiently in a fast-paced environment.

✔ Experience handling a multi-line phone system professionally.

✔ Physically capable of lifting light boxes and occasional kneeling.

✔ Self-starter with the ability to work independently and as part of a team.

Pay: $55,000.00-$65,000.00 per year
