Reporting to the Manager, Finance, the Administrative Assistant is responsible for providing efficient and consistent delivery of administrative support within the department. The position ensures the effective operation of clerical duties, coordination of invoice, and that other office work/processes are prioritized and referred to the proper authority.
The Administrative Assistant is critical to the effective operations of the office and ensures that staff are well supported. The position carries out administrative functions in a timely manner and ensures that support and coordination is provided to fulfill the operational requirements of the office. The position coordinates and schedules meetings ensuring all necessary staff are available to attend, meeting commitments are fulfilled, and minutes and documents are professionally prepared.
Knowledge of office and administrative procedures, file management and the ability to use a personal computer, including experience in using word processing, electronic email and spreadsheet software, maintain confidentiality and discretion in handling sensitive and confidential documents, demonstrate initiative and problem solving and to communicate effective verbally and in writing are required for this position. Good interpersonal skills, motivated, independent and able to work with minimal supervision, strong customer service skills to provide assistance and information to staff, outside agencies and department, and to the public, and strong organizational skills to work independently and meet established deadlines are also required.
The knowledge, skills, and abilities required for this job would be obtained through completing a High School Diploma and one (1) year of experience working in an office environment.
This is a Highly Sensitive Position and a satisfactory Criminal Record Check,
along with a clear Vulnerable Sector Check is required.
The Official Languages of Nunavut are Inuktut, English and French. Applicants may submit their resume in any of the official languages of Nunavut. Fluency in more than one of Nunavut’s official languages would be considered an asset. Knowledge of Inuit communities, culture, land, Inuit Qaujimajatuqangit, Inuktut and experience working in a northern cross-cultural setting are also considered assets.
