About Us The Alberta Pipe Trades College (APTC), operated by the Edmonton Pipe Trades Educational Trust (EPT), is a leading skilled trades training institution providing apprenticeship, pre-apprenticeship, journeyperson upgrading, certification, and industry training programs.
Our college provides training to approximately 1,000 learners each year in a busy, professional environment focused on delivering high-quality education and exceptional service to Alberta's skilled trades workforce.
We are seeking a friendly, professional, and highly organized Administrative & Member Services Representative to join our administrative team and provide exceptional front-line service to students, members, instructors, guests, and other stakeholders.
The Position The Administrative & Member Services Representative is an important front-line position at the Alberta Pipe Trades College and is often the first point of contact for individuals visiting or contacting the college.
The successful candidate will provide professional reception and administrative support while assisting students and members with course information, registrations, payments, books, programs, and general inquiries.
This position requires excellent customer service and communication skills, strong organizational abilities, attention to detail, professionalism, and the ability to manage multiple priorities in a busy educational workplace.
Key Responsibilities
- Provide professional and courteous customer service to students, members, guests, instructors, staff, and other stakeholders
- Greet and assist students, members, and visitors upon arrival at the college
- Answer incoming telephone calls and respond to inquiries in a professional and timely manner
- Respond to general email and in-person inquiries
- Provide information regarding apprenticeship training, courses, programs, schedules, and college services
- Assist students and members with course registrations and general registration inquiries
- Process payments for courses, training, books, and other college services
- Issue receipts and maintain accurate records of transactions
- Assist with the distribution and sale of textbooks, course materials, and other training resources
- Maintain accurate student, member, registration, and administrative records
- Assist with preparing correspondence, forms, reports, spreadsheets, and other administrative documents
- Perform general data entry and maintain accurate information within college systems
- Assist instructors and other staff with administrative requirements as needed
- Maintain organized electronic and paper filing systems
- Receive, organize, and distribute incoming correspondence and deliveries
- Assist with scheduling, meetings, student communications, and college events as required
- Maintain a clean, organized, and professional reception and front-office area
- Handle questions, concerns, and complaints professionally and respectfully and direct matters to the appropriate staff member when necessary
- Protect confidential student, employee, member, and organizational information
- Collaborate with other administrative staff and departments to ensure efficient college operations and a positive experience for students and members
- Assist with other administrative duties and special projects as required
Qualifications The ideal candidate will have:
- Previous administrative, reception, customer service, or office experience
- Excellent interpersonal and customer service skills
- Strong written and verbal communication skills
- A friendly, professional, and approachable manner
- Strong organizational skills and attention to detail
- Excellent time-management skills with the ability to prioritize multiple responsibilities
- Ability to work effectively in a busy environment with frequent interruptions
- Ability to work independently while contributing positively to a team environment
- Strong computer skills and proficiency with Microsoft Office applications, including Outlook, Word, and Excel
- Experience with data entry and maintaining accurate electronic records
- Ability to learn new computer systems and administrative processes
- Ability to handle payments and financial transactions accurately
- Ability to exercise discretion and maintain confidentiality
- Strong problem-solving skills and the ability to respond professionally to questions or concerns
- Dependable attendance and a strong commitment to providing professional service
Compensation & Benefits $21.00–$24.00 per hour, depending on experience and qualifications.
