Service Advisor

Classic Towing & Storage is seeking an experienced and organized Service Advisor to support the day-to-day operations of our repair and maintenance shop. This position acts as the main point of communication between our drivers, mechanics, management, parts suppliers, and outside repair vendors.

The ideal candidate will have a good working knowledge of automotive and truck repair, strong organizational and computer skills, and the ability to manage multiple vehicles and repair priorities in a fast-paced towing operation.

Responsibilities The Service Advisor will be responsible for receiving repair concerns from drivers and management, gathering the necessary information regarding vehicle problems, and coordinating the inspection, diagnosis, maintenance, and repair of company vehicles.

Duties will include

- Speaking with drivers regarding mechanical concerns, warning lights, noises, vehicle performance, damage, and required maintenance.
- Booking and scheduling company vehicles and tow trucks into the shop for repairs, inspections, preventative maintenance, and scheduled service.
- Coordinating repair priorities with mechanics and management based on operational requirements and vehicle availability.
- Creating and maintaining repair orders, service records, maintenance records, and other shop documentation.
- Keeping drivers and management updated on the status of vehicles currently in the shop.
- Maintaining an organized schedule of vehicles waiting for service, currently under repair, and ready to return to service.
- Performing basic vehicle inspections and assisting in identifying or verifying mechanical concerns.
- Test-driving vehicles when necessary to confirm a reported concern or verify that repairs have been completed properly, provided the vehicle can legally be operated with the employee's licence class.
- Ensuring repaired vehicles are safe and ready to return to service before being released back into operations.
- Ordering and sourcing automotive and truck parts as required.
- Picking up parts from suppliers when necessary.
- Receiving parts and confirming that the correct parts have been supplied for the applicable vehicle or repair.
- Coordinating warranty repairs and outside repairs with dealerships, specialty repair facilities, tire shops, body shops,

towing-equipment suppliers, and other vendors.
- Tracking parts that have been ordered, backordered, returned, or waiting for installation.
- Reviewing repair requirements with mechanics and helping ensure required work is properly documented.
- Monitoring preventative maintenance schedules, including oil changes, inspections, tires, brakes, fluid services, and other scheduled maintenance.
- Assisting with tracking vehicle kilometres and upcoming maintenance requirements.
- Identifying vehicles that require immediate attention due to safety or mechanical concerns and notifying management when a vehicle should be removed from service.
- Maintaining accurate computer records relating to repairs, maintenance, parts, invoices, and vehicle history.
- Reviewing invoices and repair documentation for accuracy before submitting them to management when required.
- Maintaining good communication between the shop, dispatch, drivers, and management so that everyone is aware of vehicle availability.
- Assisting with maintaining an organized and professional shop office and parts area.
- Following all company health and safety policies and reporting unsafe vehicles, equipment, or working conditions.
- Performing other shop, fleet, administrative, and operational duties as reasonably required.

Qualifications The successful candidate should have:
- A valid Ontario G Class driver's licence with a satisfactory driving record.
- Robust working knowledge of automotive systems, vehicle maintenance, and common mechanical problems.
- The ability to understand and communicate mechanical concerns clearly to drivers, mechanics, management, and suppliers.
- The ability and confidence to test-drive vehicles that they are legally licensed to operate.
- Previous experience in an automotive repair shop, truck repair facility, fleet maintenance environment, dealership, service department, or similar position is strongly preferred.

- Strong computer skills and the ability to learn company software and fleet-management systems.
- Good written and verbal communication skills.
- Strong organizational and time-management abilities.
- The ability to manage several repairs, vehicles, drivers, vendors, and priorities at the same time.
- The ability to work independently while also communicating effectively with mechanics, drivers, dispatch, and management.
- Strong attention to detail, particularly when recording vehicle information, repair concerns, parts, invoices, kilometres, and service history.
- Good problem-solving skills and the ability to determine when a mechanical concern requires immediate escalation.
- Professional communication skills when dealing with employees, suppliers, dealerships, and outside repair facilities.

Additional Assets The following would be considered an asset:
- Previous experience working with tow trucks, commercial vehicles, diesel trucks, or fleet vehicles.
- Knowledge of towing equipment, hydraulics, PTO systems, winches, wheel-lifts, flatbeds, and related equipment.
- Experience with fleet maintenance or work-order software.
- Knowledge of preventative maintenance programs.
- Parts ordering and inventory experience.
- Previous experience dealing with automotive and commercial-truck parts suppliers.
- A DZ or higher driver's licence.
- Automotive or truck technician experience or previous mechanical training.

Position Expectations The Service Advisor is expected to take ownership of the flow of vehicles through the shop. This means knowing which vehicles require repairs, which vehicles are currently being worked on, what parts are outstanding, what vehicles are ready, and what vehicles need to be prioritized based on operational requirements. Because Classic Towing operates a large fleet in a 24-hour towing environment, communication and organization are extremely important. The Service Advisor must work closely with drivers, mechanics, dispatch, and management to minimize vehicle downtime while ensuring that safety and proper repairs are never compromised.
