Position Overview The Bookings Department is responsible for intake, booking and administration of all rental events and the accurate management of the organization’s venue calendars. As part of the Programming Group, which also encompasses Programming, Education & Community Engagement, as well as Artist Development & Original Content, the Bookings Department facilitates internal bookings across programmatic areas and operational needs, communicating all activity to the larger organization. Bookings are the first touch point for new and returning clients, providing information and guidance from initial inquiry through event confirmation and collaborate interdepartmentally to ensure a seamless transition to event delivery.

Reporting to the Director of Bookings, the Bookings Manager oversees the day-to-day operations of the Bookings Department and provides leadership, guidance, coaching, and mentorship for two Bookings & Sales Associates. The Manager will oversee the departmental sales pipeline, internal bookings, and inventory allocation, while actively engaging with select clients, ensuring that inquiries, contracts, scheduling, client communications, event estimates, and internal processes for all rental activities across the organization's venues are managed efficiently, accurately, and in alignment with departmental objectives.

Utilizing their advanced creative problem solving and critical thinking skills while role modelling best-in-class customer service, the Manager will maximize event activity and revenue generation. Working closely with the Director, they support the execution of departmental strategies, service standards, and revenue goals.





Success in this role is reflected through efficient and accurate booking administration, professional client service, effective cross-functional collaboration, and the successful delivery of rental activity in support of the financial and strategic goals of the department and organization.

The ideal candidate is a hands-on people leader who enjoys bringing structure to complex, fast-moving work, building strong client relationships, and coordinating across teams.

Key Responsibilities:

Team Leadership & Department Operations

- Oversee the day-to-day operations of the Bookings Department, ensuring workflows, priorities, and service standards are consistently achieved.
- Foster a collaborative, service-oriented, and qualified team culture.
- Provide direct supervision, coaching, and performance management for Bookings staff.
- Support the Bookings Director in implementing departmental objectives, operational plans, and revenue-generating initiatives.
- Monitor workload distribution and departmental resources to ensure timely and effective service delivery.
- Support client retention and acquisition through consistent, high-quality service delivery and relationship management.

Bookings & Client Management

- Responsible for fundamental management of CRM and venue calendar
- Manage and support the processing of inquiries, event estimates, contracts, deposits, and booking documentation, ensuring all are processed accurately and within prescribed timelines.
- Coordinate venue tours and client meetings.
- Develop and maintain strong professional working relationships with clients, promoters, presenters and industry partners.

Cross-functional Coordination

- Ensure complete and timely handoff of confirmed bookings to internal teams, including clear documentation of contractual commitments, client requirements, schedules, and relevant event information.
- Provide operational support as required to address client or contractual issues.
- Exercise sound judgment in resolving conflicts, challenges and client issues and escalating significant matters to the Director when appropriate.
- Support the Director in tracking and reporting event activity, departmental performance, activity, and revenue objectives.

Compliance

- Ensure departmental compliance with organizational policies, department procedures, and contractual requirements.
- Support risk management initiatives by identifying concerns and proactively implementing corrective actions.
- Identify opportunities to improve workflows, documentation, communication,



and service delivery, and implement improvements in partnership with the Director and internal partners.

Qualifications:

- Five or more years of progressively responsible experience in venue bookings, events, hospitality, arts administration, client services, complex scheduling, or a related operational environment.
- Education in front line hospitality, client services or arts administration; experience in the live music industry will be considered an asset.
- Experience managing a team while staying actively involved and contributing to the day-to-day work.
- Experience delivering superior client service and retention strategies.
- In-depth experience with CRM, project management or scheduling software; proficiency with Momentus Enterprise or similar is a strong asset.
- Strong proficiency in Microsoft Office, particularly Excel.
- Demonstrated ability to prioritize competing demands, coordinate work across a team, and maintain accuracy in a high-volume environment.
- Strategic and critical thinker with sound judgement in fast-moving environments.
- Excellent verbal and written communication skills, with the ability to collaborate effectively and tactfully with clients, colleagues, and decision makers, in person and virtually.
- A genuine passion for events, the performing arts, or live music.

Work Conditions

- Manual dexterity required to use desktop computer and peripherals.
- Interacts regularly with senior management, employees, and clients by telephone, email and in-person meetings.
- Comfort working across both office and venue environments, including conducting walkthroughs across large, multi-level facilities.
- Some evening, weekend, and overtime work is required to support two public venues operating seven days a week.
- Travel between venues will be required on an ongoing basis.

Additional Information (if applicable): This is a hybrid role based in Toronto with a combination of remote work and on-site presence at Massey Hall, Roy Thomson Hall, and Allied Music Centre. Some evening and weekend availability will be required depending on client needs and event schedules.
