About the Role

As the Business Operations Coordinator, you will play a key role in supporting the day-to-day administration and coordination of operational, franchise, and real estate activities across the organization. Reporting to the VP, Operations, you will collaborate with internal teams, franchisees, vendors, and external stakeholders to help ensure business processes are executed efficiently, documentation is maintained accurately, and operational initiatives are delivered successfully. In this role, you will provide administrative and operational support across multiple business functions, serving as a central resource for franchise administration, real estate documentation, reporting, and record management. You will coordinate projects, manage critical business records, and act as a key point of contact for franchisees and operational partners.

Key Areas of Responsibility

Operations Support

- Provide administrative and operational support to the Operations Department.
- Prepare, update, and maintain reports, presentations, correspondence, and business documentation.
- Coordinate meetings, conferences, training sessions, and departmental events.
- Support procurement activities, including purchase order creation and accounts payable processes.
- Maintain operational reports, records, and documentation to support business needs.
- Coordinate and oversee field recognition programs, including performance and years of service awards

Real Estate Support

- Coordinate with internal and external partners regarding real estate systems and administrative processes.
- Review, maintain, and track insurance certificates, incident claims, and related documentation.
- Prepare purchase orders and process facility-related and vendor invoices.
- Support monthly and annual reporting requirements.
- Maintain accurate vendor records and documentation.

Franchise Administration

- Support franchise ownership transfers, shareholder updates, and corporate structure changes.
- Prepare franchise agreements, amendments, renewals, notices, transfers, and related documentation.
- Review franchise manuals, disclosure documents, addendums, and associated records.




- Maintain accurate records and databases for approximately 300 franchise offices across Canada.
- Serve as a first point of contact for franchisees, responding to inquiries and directing issues appropriately.
- Coordinate with Legal and cross-functional departments on franchise-related matters.
- Assist in maintaining franchise contract rosters, ownership records, and years of service information.
- Support the administration of franchise agreements, policies, procedures, and related business processes.

Required Qualifications

- Post-secondary education in Business, Accounting, or a related field, or an equivalent combination of education and experience.
- Minimum seven years of experience in operations, administration, franchise support, or a related role.
- Advanced proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
- Experience supporting business operations, documentation management, and cross-functional coordination.
- Experience managing sensitive and confidential information with professionalism and discretion.
- Previous paralegal experience is considered an asset.
- Experience supporting franchise operations, contract administration, or real estate functions.
- French language skills are considered an asset.

Physical Requirements

- Ability to sit and work at a computer for extended periods throughout the workday.
- Ability to lift up to 10 lbs.
- Flexibility to work overtime as required.
- Ability to travel up to 10%.
- Ability to work a hybrid schedule from 8AM to 5PM. Monday and Friday are work from home days; Tuesday - Thursdays we work in office.
