Position Description

Reporting to the Executive Director, the Children’s Program Coordinator is responsible for the day-to-day coordination and delivery of Welcome Inn’s Learning & Fun (LAF) after-school program. The coordinator creates a welcoming, safe and engaging setting for children and youth while supporting volunteers, families and community partners involved in the program.

Responsibilities and Duties

- Plan, prepare and deliver engaging, age-appropriate activities for children and youth participating in the Learning & Fun program.
- Coordinate the day-to-day operation of the program, ensuring activities, spaces, supplies and resources are prepared and organized.
- Create a welcoming, inclusive and supportive environment where children and youth feel safe, respected and engaged.
- Provide appropriate supervision and support to children and youth throughout program activities.
- Coordinate, orient and provide day-to-day direction to program volunteers and placement students.
- Build positive relationships with children, youth, families, volunteers and community partners.
- Communicate with parents and caregivers regarding program information and, in consultation with the Executive Director,



address concerns or incidents as required.
- Maintain accurate program records, including participant attendance, registration information, volunteer hours and other required program data.
- Support participant recruitment and program outreach through connections with families, schools and community partners.
- Monitor program supplies and identify purchasing or resource needs in accordance with Welcome Inn’s financial procedures.
- Follow organizational policies and procedures related to child safety, confidentiality, incident reporting, accessibility and program operations.
- Identify and promptly communicate program concerns, safety issues or emerging needs to the Executive Director.
- Participate in regular check-ins with the Executive Director and staff meetings as required.
- Support program evaluation by gathering feedback and identifying opportunities to improve the participant experience.
- Perform other reasonable duties related to the successful delivery of the Learning & Fun program as assigned.

Qualifications: The ideal candidate will bring a combination of experience, skills and enthusiasm for working with children, youth and families in a community-based setting.
- Post-secondary education in education, child and youth care, social services, recreation, community development or a related field, or an equivalent combination of education and relevant experience.
- Experience working with children and/or youth in a community, recreation, education, camp or after-school program setting.
- Experience planning and delivering engaging, age-appropriate activities for children and youth.
- Strong organizational and time-management skills, with the ability to independently coordinate day-to-day program activities.
- Experience working with, supporting or providing direction to volunteers is considered an asset.




- Strong interpersonal and communication skills, including the ability to build positive relationships with children, youth, families, volunteers and colleagues.
- Demonstrated ability to create a welcoming, inclusive and respectful environment for participants from diverse backgrounds and lived experiences.
- Sound judgment and the ability to respond appropriately to participant needs, behavioural concerns, conflicts and unexpected situations.
- Comfortable maintaining attendance, participant and program records using Microsoft Office and other basic digital tools.
- Valid First Aid and CPR certification
- A satisfactory Vulnerable Sector Check is required prior to working independently with children and youth.

Assets:
- Previous experience with after-school or community-based children's programming.
- Experience working with volunteers or placement students.
- Knowledge of Hamilton's North End and/or experience working within diverse community settings.
