Company: Psychotherapy Matters (PM)

Location: Canada, Remote (must be available in EST)

Hours: Approximately 15–20 hours/week for the first 4–8 weeks during training and transition, increasing to 37.5 hours/week for the remainder of the approximately 6-month contract. Potential for extension for the right candidate.

Job Type: Independent Contractor

Pay: $30/hour

Hours are flexible, but candidates must be available primarily during Eastern Time business hours, Monday to Friday.

Psychotherapy Matters (PM) is a virtual collaborative care platform that connects psychotherapists and their clients with psychiatrists and other healthcare providers.

Our goal is to reduce fragmentation in mental health care by making it easier for providers to collaborate and support clients through coordinated psychiatric consultation and assessment pathways.

About the Role

We are seeking a highly organized, proactive, and detail-oriented Clinical & Program Coordinator to manage the day-to-day operations of our specialized mental health programs during a maternity leave.

This is a high-volume coordination role with significant ownership. You will manage program cases from initial request through appointment booking, support therapists and clients, coordinate with psychiatrists and other providers, and help ensure cases move through the process accurately and without avoidable administrative delays.

Key Responsibilities

Program Operations & Coordination

- Coordinate ADHD Matters, ASD Matters, and Combined ADHD/ASD program workflows from initial request through appointment booking, monitoring cases and addressing issues or exceptions requiring manual attention.
- Prepare and pre-fill program templates and documentation accurately.
- Provide therapists and clients with clear guidance regarding program eligibility, processes, fees, documentation requirements, and next steps.
- Serve as a key point of contact for therapists, clients, psychiatrists, physicians, and administrative staff regarding PM programs, services, processes, and operational questions.




- Coordinate appointment requests, cancellations, follow-up needs, and other psychiatrist-related matters.
- Support therapists and clients in navigating the PMVC Portal and program workflows.
- Maintain accurate client and program records and proactively monitor active cases.
- Respond to inquiries promptly and appropriately escalate clinical, privacy, technical, or complex operational concerns.

Therapist & Member Support

- Support therapist engagement, retention, membership, and outreach initiatives, including onboarding new therapists and clinics and responding to membership inquiries.
- Prepare and distribute the monthly therapist newsletter, provider announcements, and other program communications.
- Monitor feedback from therapists, clients, and psychiatrists; address or escalate concerns as appropriate; and identify recurring issues or opportunities for program and process improvement.

What Success Looks Like

- Program cases continue moving forward without avoidable administrative delays.
- Client and program information, forms, and templates are accurate and up to date.
- Exceptions, unresolved issues, and cases requiring manual attention are identified and addressed promptly.
- Inquiries and appointment-related requests are handled professionally and followed through to resolution.
- Program operations remain consistent and well organized throughout the coverage period.

Skills & Qualifications

- 2+ years of experience in program coordination, administration, case coordination, client service, operations, or a related role.
- Excellent written and verbal communication skills.
- Strong organization, prioritization, and attention to detail.




- Comfortable independently managing multiple files, priorities, and day-to-day issues.
- Able to work with some ambiguity, exercise sound judgment, and seek support when needed.
- Strong digital literacy and ability to learn new systems quickly.
- Proficiency with Microsoft Office and Zoom; familiarity with tools such as Mailchimp, Canva, social media, online forms, or similar platforms.
- Professional and empathetic communication style.

Experience in healthcare, mental health, medical administration, privacy/confidentiality, or working with regulated healthcare professionals is an asset but not required. Why Join Psychotherapy Matters?
