Clinical Trial Payments Coordinator

Job Summary

We are seeking a detail-oriented Clinical Trial Payments Coordinator to support clinical trial payment operations and financial activities across multiple countries. The ideal candidate will have experience in clinical research or clinical operations, robust Excel and systems skills, and an understanding of payment, reconciliation, vendor, or financial processes.

This role will work closely with Clinical Operations, Finance, Accounts Payable, research sites, investigators, vendors, and internal stakeholders to ensure accurate and timely clinical trial payments.

Key Responsibilities

- Review completed clinical trial visits and additional procedures using clinical trial systems and Excel.
- Prepare and consolidate payment proposals by country, research site, investigator, and patient.
- Verify research site financial information, including banking details, tax information, and physical address.
- Support research site payments through SAP and other internal procurement and payment systems.
- Assist with Accounts Payable activities and resolve payment-related inquiries.
- Support vendor creation and maintenance within vendor master systems.
- Configure and maintain research site information in relevant clinical and financial systems.
- Create and manage monthly and annual purchase orders for applicable countries.
- Reconcile payment discrepancies and investigate site payment issues.
- Maintain accurate clinical trial payment data and discrepancy reports.
- Collaborate with Clinical Operations Leads and country teams to obtain required approvals.
- Support audits by providing accurate payment and financial documentation.




- Monitor system data and ensure payment-related information remains complete and up to date.
- Support forecasting, expense management, and payment process improvements.
- Provide guidance and training to clinical research staff on payment processes and reporting tools.
- Identify opportunities to improve payment processes, forecasting, data quality, and operational efficiency.

Required Qualifications

- Bachelor's degree or equivalent experience in Clinical Research, Life Sciences, Finance, Business Administration, or a related field.
- Experience in clinical research, clinical operations, clinical trial finance, payment administration, or a related environment.
- Strong proficiency with Microsoft Excel and web-based business applications.
- Experience working with cross-functional teams and multiple stakeholders.
- Strong attention to detail and data accuracy.
- Strong customer service and communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Experience with financial reconciliation, vendor management, purchase orders, or Accounts Payable is highly desirable.
- Experience with SAP, Veeva, CCOPS, My Buy, or other clinical/financial systems is an advantage.

Preferred Experience

- Clinical trial site or investigator payment experience.
- Experience working with research sites, CROs, investigators, or clinical study teams.
- Experience with payment proposals and payment reconciliation.
- Experience with vendor master data and vendor onboarding.
- Experience supporting audits and financial documentation.
- Experience working in a regulated pharmaceutical, biotechnology, medical device, or clinical research environment.
