Position Summary The Coordinator, Events supports the planning and delivery of Ontario Hockey League events. Working with the Director, Marketing & Events, league staff, member clubs and external partners, the Coordinator, Events will lead event logistics, maintain planning documents and provide administrative and on-site leadership to help deliver well-executed events and positive experiences for participants and guests.

Events supported include

- Connor McDavid OHL Top Prospects Game
- OHL Priority Selection
- OHL Awards
- Neutral site regular season games, such as the Seaway Shootout
- OHL Playoffs / Conference Finals / Championship Series

The Coordinator, Events will also support the Hockey Operations Department where necessary and work with the Director, Marketing & Events to enhance and expand league events wherever possible.

Key responsibilities

Event planning and administration

- Maintain event manuals, workback schedules, checklists, contact lists and run of show documents, and organize shared files, templates and historical records so staff can readily access current information.
- Coordinate planning meetings, prepare agendas, record action items and follow up on deadlines and assigned responsibilities.
- Prepare and distribute event information, itineraries and briefing materials to league staff, member clubs, venues and other event contacts.
- Maintain a consolidated events calendar, tracking key dates, planning milestones and departmental deadlines, and flagging scheduling conflicts.
- Research potential venues, hotels and event suppliers, and prepare comparisons of availability, costs and services to support planning decisions.

Logistics and event delivery

- Coordinate assigned travel, transportation, accommodation and hospitality arrangements for players, team staff, league personnel, partners and guests.
- Support event registration, accreditation, ticket ordering and distribution, and the coordination of tickets and hotel bookings.
- Liaise with venues and vendors to obtain quotes, confirm approved arrangements, track service requirements and communicate changes; refer contracts and spending commitments to management for approval.




- Assist with venue preparation, signage, event materials, guest services and on-site set-up and teardown. Resolve routine issues and promptly escalate concerns.
- Coordinate the packing, shipping, delivery, inventory and return of event supplies, signage, equipment and promotional materials.
- Assist with scheduling and briefing event staff and volunteers, communicating assignments, reporting locations and event-day responsibilities.
- Support the delivery of event programming, presentations and ceremonies by coordinating participant movements and timing with league staff, venue personnel and production partners.

Financial and departmental support

- Track event expenses against approved budgets, maintain supporting records and flag discrepancies or anticipated cost changes.
- Prepare expense reports, process invoices for approval and payment, follow up on outstanding billing and assist with post-event reconciliation.
- Assist with sponsor and partner event requirements, ensuring assigned materials and activities are delivered as planned.
- Collect event feedback, document lessons learned and recommend practical improvements to planning processes and the participant experience.
- Provide related administrative support to the events department and perform other duties as assigned.

Qualifications and experience

- Post-secondary diploma or degree in event management, sport management, business, hospitality or a related field, or an equivalent combination of education and relevant experience.
- One to two years of experience in event coordination, operations or administrative support, preferably within sports, entertainment or hospitality. Relevant internships and substantial volunteer event experience will be considered.
- Strong organizational skills,



attention to detail and follow-through, with the ability to manage competing priorities and deadlines.
- Clear written and verbal communication skills and a qualified, service-oriented approach to working with colleagues, member clubs, vendors and guests.
- Proficiency in Microsoft Word, Excel, PowerPoint and Outlook, with the ability to maintain schedules, expense trackers and event records.
- Ability to work independently on assigned tasks and collaboratively within a team, using sound judgment and remaining calm when plans change.
- Knowledge of hockey and the Ontario Hockey League is an asset.

Working requirements Availability to travel to assigned events and work flexible hours, including evenings and weekends, as required by the event schedule. The role combines office-based planning and administration with on-site event support. This hybrid position requires attendance at the Scarborough office.
