Document Management Representative Please note: This role has multiple openings. This is a contract prospect ending on April 30, 2027. Applicants must be available to work rotating shifts Monday through Friday between 8:00 AM to 6:00 PM. The work location for this role is 483 Bay Street in Toronto until approximately late 2026, when the work location will change to the new Mississauga office at 3 Robert Speck Parkway.
Business overview Transfer Agency Processing Support is a multi-functional area providing a wide array of services to all divisions of Fidelity Investments. The department consists of 5 distinct teams that support financial and non-financial transaction processing. Responsibilities vary from the receipt and distribution of inbound transaction requests to trade settlement.
Primary Responsibilities
- Ensure accurate and timely preparation of all operational documents for scanning and imaging.
- Ensure scanning of all cheque and non-cheque documents, including barcoded OCR documents, by utilizing OPEX scanners, and fully following all applicable scanning procedures.
- Image validation and scanning of cheque and non-cheque documentation by utilizing high-speed OPEX scanners, including ICR/OCR process, ensuring accuracy and integrity of scanned images.
- Ensure timely and highest quality distribution of all scanned and faxed items (images of the documents) by utilizing KOFAX and XTRAC workflow applications.
- Conduct authorized signature verification process (ASV) by utilizing an applicable KOFAX application.
- Execute all tasks in full accordance with the internal policies, procedures and auditing requirements.
- Execution of all other document management team related tasks as required or assigned by Team Manager.
- Add value to the client experience by understanding what's important, recognizing what needs to be done, providing stellar service and taking personal accountability for creating a positive "moment of truth" and demonstrating Fidelity core values.
What We’re Looking For
Experience Minimum 1-year work experience, preferably in financial services Industry.
Education Post-secondary degree or equivalent work experience.
Designations, Licenses, or Accreditations Completion of Canadian Investment Funds Course (CIFC) is an asset.

- Business knowledge - Basic understanding of the mutual funds industry, specifically mutual funds operations.
- Strong customer service focus.
- Strong organizational skills with the ability to multitask.
- Ability to work in a fast paced environment with strong attention to detail.
- Good verbal and written communication skills.
- Proficiency in MS Office and strong keyboarding skills.
Competitive Pay for Specialized Talent
The hourly rate ranges from $26.00 to $40.00, based on experience and qualifications. We offer market-aligned rates that recognize the specialized skills and agility required for this role. We’re proud to offer a compensation package that aligns with provincial pay transparency requirements.
