Executive Assistant

Creekside Accounting is a growing boutique accounting firm in Kelowna that works primarily with small businesses and their owners. We are looking for an experienced Executive Assistant to work closely with the firm owner and help keep both the day-to-day details and bigger-picture priorities moving forward.

This is not a traditional administrative role where you will simply be given a list of tasks to complete. We are looking for someone who is proactive, highly organized, curious, and comfortable figuring things out independently.

The right person will enjoy learning how our business works, spotting things that need attention, improving processes, and taking ownership of tasks without needing significant oversight.

An interest in accounting, tax, business, or professional services would be a strong fit. You don't need to be an accountant, but you should be interested in learning about the work we do and understanding enough of the context to anticipate what needs to happen next.

What You'll Do

You'll work closely with the firm owner and support a variety of administrative, client service, and operational functions, including:

- Managing calendars, appointments, scheduling, and meeting coordination
- Helping manage client communications and ensuring emails and requests don't fall through the cracks
- Preparing and sending client invoices
- Preparing and sending electronic signature documents
- Assembling and PDFing financial statement and tax packages
- Preparing professional client correspondence and communications
- Managing and troubleshooting the various software platforms used throughout the firm
- Helping organize internal meetings, team activities, events, and other firm initiatives
- Maintaining organized electronic files and administrative systems




- Identifying opportunities to improve or simplify processes
- Researching questions and figuring out solutions independently
- Taking on new administrative and operational responsibilities that help free up the owner's time
- Generally being the person who can be trusted to notice what needs to be done and make sure it gets done

Because this role works closely with the owner, the responsibilities will evolve over time based on your strengths and the needs of the firm.

- Pleasant to work with. We're looking for someone who is kind, approachable, helpful, and contributes positively to a small team.
- Interested in learning. Accounting or tax experience is an asset, but genuine interest in understanding the industry is equally important.

Experience & Skills

We're looking for an experienced administrative professional who can step into a position with meaningful responsibility.

Ideally, you will have:

- Several years of administrative, executive assistant, office management, or similar skilled experience
- Excellent written English and business communication skills
- Strong computer skills and the ability to quickly learn new software
- Experience working with Microsoft Office and PDF/document-management tools
- Experience managing calendars, email, documents, and competing deadlines
- Strong proofreading and document-formatting skills
- Experience in an accounting, legal, financial, or other professional-services environment is an asset
- Familiarity with accounting or tax terminology is an asset but not required

Pay: $55,000.00-$75,000.00 per year
