Job Overview
We are seeking a highly organized and proactive Executive Assistant to support the President of our organization. This dynamic role offers the prospect to be at the heart of executive operations, ensuring seamless communication, efficient scheduling, and meticulous administrative support. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, professionalism, and a positive attitude.
As the key liaison between the President and internal/external stakeholders, you will play a vital role in maintaining operational flow and contributing to the overall success of our leadership team. The candidate must have a bachelor’s degree, a strong academic record, and at least two years of experience.
Responsibilities
- Manage the President’s calendar using Microsoft Outlook Calendar, scheduling appointments, meetings, and travel arrangements with precision.
- Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy.
- Maintain organized filing systems both digitally and physically for easy retrieval of documents.
- Perform data entry tasks with accuracy using tools like QuickBooks for bookkeeping and financial record keeping.
- Coordinate meetings by preparing agendas, taking minutes,
and distributing follow-up action items promptly.
- Quick leaner and tech savvy
- Ensure all administrative tasks are completed efficiently while maintaining high standards of confidentiality and discretion.
Experience
- Proven experience as an Executive Assistant or in an administrative support role within an office environment.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Prior experience with bookkeeping or financial software such as QuickBooks is desirable.
- Strong organizational skills with the ability to prioritize tasks effectively in a busy setting.
- Excellent written and verbal communication skills complemented by professional phone etiquette.
- Experience handling confidential information with integrity and discretion is essential.
