Job Summary

We are seeking a Leasing & Sales Administrator to join our team and support the leasing and sales of residential properties. This position will be a key point of contact for prospective tenants and purchasers and will be responsible for responding to inquiries, coordinating property showings, maintaining records, preparing documentation, and providing exceptional customer service throughout the leasing and sales process.

The ideal candidate is organized, professional, customer-focused, and comfortable working in a fast-paced environment with multiple priorities.

Key Responsibilities

- Respond to inquiries by phone, email, website, social media, and other platforms.
- Coordinate and conduct property tours and showings.
- Provide accurate information regarding availability, pricing, features, amenities, and applicable terms.
- Qualify prospective tenants and purchasers and maintain consistent follow-up.
- Assist with rental applications,



leasing documentation, purchase documentation, and move-in processes.
- Maintain accurate prospect, customer, leasing, and sales records.
- Maintain current and accurate property listings and availability information.
- Prepare reports, correspondence, leasing packages, and other administrative documents.
- Coordinate appointments, key exchanges, and property-related meetings.
- Work closely with Property Management, Maintenance, Accounting, Construction, and other departments.
- Provide a professional and welcoming customer experience.
- Identify and report maintenance, safety, cleanliness, or property concerns to the appropriate department.
- Follow company policies, procedures, privacy requirements, and Health & Safety requirements.
- Complete required company and Health & Safety training.

Qualifications

Required:

- 1–2 years of experience in leasing, real estate, sales, customer service, property management, or a related administrative role.
- Strong verbal and written communication skills.
- Excellent customer service and relationship-building skills.
- Strong organizational and time-management abilities.
- High attention to detail and accuracy.
- Ability to manage multiple inquiries, appointments, and priorities simultaneously.
- Professional and confident when communicating with prospective tenants, purchasers, and other stakeholders.
- Proficient with Microsoft Office, email, and computer-based systems.
- Ability to maintain confidentiality and handle personal information appropriately.




- Valid driver's licence and reliable transportation, if required to travel between properties.

Assets:

- Previous residential leasing or property management experience.
- Real estate or sales experience.
- Experience using property management, CRM, or lead-tracking software.
- Experience conducting property tours and showings.
- Knowledge of residential rental or real estate processes.

Working Conditions This is primarily an office- and property-based position. The role may require travel between properties and occasional evening or weekend availability for property showings. Employees must follow applicable company and Health & Safety procedures when visiting properties or active construction sites.
