We are currently seeking a dedicated, personable, and detail-oriented Medical Office Assistant to join our healthcare team for a 12-month maternity leave position, beginning at the end of November. The successful candidate will play an important role in supporting our team and ensuring the smooth and efficient day-to-day operation of our busy family practice clinic.

We are currently accepting applications for coverage of the following shifts:

Mondays 4:00 pm-8:00 pm, Tuesdays, Wednesdays and Thursdays 12:00 pm-8:00 pm and occasional Saturday shifts 9:00 am -1:00 pm. Additional hours may be available based on clinic needs.

The ideal candidate is organized, dependable, and comfortable interacting with patients, physicians, and clinical staff. Robust administrative skills, excellent communication, attention to detail, and a commitment to providing exceptional patient service are essential.

Experience working in a medical office environment is preferred. Training will be provided to the successful candidate as needed.

Key Responsibilities

- Greet and assist patients in a professional, friendly, and compassionate manner
- Manage patient intake, appointment scheduling, and front-desk activities using an EMR system
- Answer incoming telephone calls, respond to patient inquiries, and schedule appointments
- Ensure patient records, reports, and documentation are complete, accurate, and properly maintained
- Process routine correspondence and other patient and clinic communications
- Organize, maintain, and file general office records and confidential medical documentation
- Perform a variety of administrative and clerical duties to support the clinic's daily operations
- Coordinate appointments, tasks,



and other responsibilities efficiently and accurately
- Assist with pre-appointment clinical procedures, including obtaining vital signs such as blood pressure and infant weight, as required
- Work independently while also collaborating effectively with physicians and other members of the healthcare team
- Support clinical staff in maintaining smooth clinic operations and accurate medical records
- Maintain strict confidentiality and handle sensitive patient information with professionalism and discretion
- Contribute to a welcoming, respectful, and patient-centered clinic environment

Qualifications & Requirements
- Strong organizational and administrative skills with excellent attention to detail
- Excellent verbal and written communication skills
- Friendly, professional, and compassionate approach to patient care
- Ability to multitask and prioritize effectively in a busy clinical environment
- Comfortable working both independently and as part of a team
- Strong computer skills and willingness to learn and use EMR systems
- Previous medical office experience is an asset but not mandatory
- Regular and dependable attendance is an essential requirement of this position
- Applicants must be up to date with required COVID-19 vaccinations
- Our clinic is a scent-free environment; applicants must be comfortable adhering to this policy

Pay: $19.00-$22.00 per hour
