We are looking for a friendly, organized, and customer-focused individual to join our team as a Customer Service & Office Coordinator. This role is the first point of contact for many of our customers and plays a vital role in creating a positive experience while helping ensure our day-to-day operations run smoothly.
The ideal candidate enjoys working with people, excels at multitasking, and remains calm and professional in a busy environment. This position offers a wide variety of responsibilities and is perfect for someone who enjoys both customer interaction and administrative work. No two days are exactly alike, making this an excellent opportunity for a adaptable, detail-oriented individual who takes pride in providing exceptional service.
Key Responsibilities
Customer Service & Communications
- Serve as a primary point of contact for customers by phone, email, and in person.
- Operate a multi-line switchboard to answer, screen, and route calls.
- Assist walk-in customers and provide a welcoming, professional experience.
- Respond to customer inquiries, concerns, and complaints promptly and courteously.
- Communicate effectively with multiple departments to ensure customer needs are met.
Administrative & Office Support
- Learn and maintain a thorough understanding of company policies, procedures, and services.
- Prepare daily deposits and process customer payments.
- Receive and process customer orders accurately and efficiently.
- Set up and manage online scheduling and appointment bookings.
- Gather, organize, and format data files as required.
- Maintain filing systems and ensure accurate record keeping.
- Order and monitor office supplies as needed.
Coordination & Operations
- Coordinate workflows and processes with various departments.
- Assist with website updates and maintenance.
- Support ongoing operational and administrative initiatives.
- Hire, onboard, and train seasonal support staff.
- Utilize Microsoft Office applications, QuickBooks, Google Docs, and other software programs to support daily operations.
Qualifications Required Skills & Experience
- Minimum high school diploma or equivalent.
- Strong customer service experience and a genuine desire to help others.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities with exceptional attention to detail.
- Ability to work independently while also contributing positively to a team environment.
- Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
- Comfortable learning and using a variety of software programs and systems.

What We're Looking For The successful candidate will be someone who enjoys helping people, takes ownership of their responsibilities, and can confidently balance multiple priorities while maintaining a high level of customer service. Pay: $22.00-$25.00 per hour
Expected hours: 20.0 – 40.0 per week
