Job Title: Office Administrator Organization: International Union of Painters & Allied Trades Location: Sarnia, ON. (In-Office) Job Type: Part-Time (3 days a week) About Us The IUPAT (Painters Union) represents workers across the Sarnia (Lambton) region in the Construction Industry. We are dedicated to protecting workers' rights, negotiating fair contracts, and supporting our members. We are seeking a highly organized, confidential, and community-minded Office Administrator to manage our daily operations and serve as the welcoming face of our local union office.

Position Summary The Office Administrator handles the day-to-day administrative, clerical, and member-service operations of the local union office. This role requires an individual who possesses strong communication skills, and aligns with the values of the labor movement.

Key Responsibilities · Member Support: Act as the first point of contact for IUPAT members, answering phone calls, responding to emails, and greeting visitors with professionalism. · Dues & Database Management: Maintain accurate member records, track union dues, process initiation fees, and update the membership database. · Grievance Tracking: Log, organize, and track formal grievances, arbitration files, and collective bargaining agreements with strict confidentiality. · Financial Administration: Perform basic bookkeeping tasks, handle petty cash,



prepare bank deposits. · Meeting & Event Logistics: Coordinate schedules, prepare agendas, record detailed minutes for executive board and general membership meetings, and assist in organizing union events or rallies. · Office Operations: Manage office inventory, order supplies, handle incoming/outgoing mail, and maintain digital and physical filing systems.

Qualifications · 2–3 years of experience as an Office Administrator, Executive Assistant, or Coordinator. · Previous experience working within a labor union, non-profit, or public sector environment is highly preferred. · Proficiency in MS Office (Word, Excel, Outlook) and database management software. · Basic bookkeeping skills · Strong understanding of—or a willingness to learn—union structures, collective agreements, and labor issues. · Exceptional organizational skills and the ability to handle sensitive, confidential political and personal information.
