Eight Branches College of Holistic Education is a premier institution offering diploma programs rooted in the rich heritage of Traditional Chinese Medicine (TCM). Our programs encompass all Eight Branches of TCM—including acupuncture, herbal medicine, nutrition, bodywork, and the Taoist Arts such as Tai Chi and Qi Gong—providing students with a truly comprehensive and authentic education.
As our community continues to grow, we are seeking a dynamic and results-driven Registrar Assistant and Admissions Advisor to join our team. This role is ideal for someone who thrives on meaningful conversations, enjoys guiding others toward life-changing decisions, and is confident in making outbound calls to prospective and existing students.
Key Responsibilities:
- Proactively engage prospective students via outbound phone calls, email, and in-person consultations to generate interest and support enrollment
- Clearly communicate program offerings, admissions requirements, financial aid options, and key deadlines
- Conduct admissions interviews and assess student suitability for various programs
- Guide applicants through the end-to-end admissions process, ensuring a smooth and welcoming experience
- Maintain accurate records and lead tracking using CRM software
- Coordinate and participate in recruitment events, open houses, and campus tours
- Collaborate with the marketing teams to optimize outreach strategies and improve enrolment outcomes
- Assist the Registrar by answering calls and responding to student emails, while escalating concerns to the registrar (through appointment) when necessary.
- Follow up with students regarding late or missing documents or payments, including student agreements, academic assignments, tuition payments, etc.
- Upload tests, notes, and quizzes to our learning management system.
- Maintain familiarity with our teaching and professional clinics to cover reception shifts as needed.
- Facilitate testing accommodations by overriding test settings, booking rewrites and proctoring tests.
- Collect and maintaining academic records, class schedules, transcripts, examination records.
- Preparing and monitoring attendance list
- Process transcripts, enrolment letters
Qualifications:
- Bachelor's degree/Diploma in education, business, communications, or a related field
- Prior experience in sales required
- Prior experience in admissions, recruitment, or student services is strongly preferred
- Excellent verbal communication skills and a confident, friendly phone manner
- Comfortable with cold calling and following up on leads
- Proficient in CRM systems and Microsoft Office applications
- Highly organized with keen attention to detail
- A self-starter who can work independently and collaboratively
- Committed to delivering exceptional service and fostering a positive student experience
- Must be available for on-site work at our midtown Toronto campus
