Sales Operations Administrator
About the Role
GAV is looking for a highly organized, detail-oriented, and proactive Sales Operations Administrator to support our VP of Sales and broader sales team.
This is a key role within our sales organization. The successful candidate will help manage the operational side of the sales process, ensuring that opportunities, quotes, customer information, documentation, follow-ups, and internal handoffs are accurate, organized, and moving forward.
This is not a direct sales or commission-based role. It is a sales operations, coordination, CRM, documentation, and process-support role designed to help the sales team operate with greater discipline, visibility, and efficiency.
The right person will become a central support point for the VP of Sales, helping keep the sales funnel organized, CRM data accurate, quotes properly tracked, and internal communication flowing between Sales, Engineering, Projects, Finance, and Operations.

What You’ll Be Doing
As the Sales Operations Administrator, you will support the daily execution and organization of the sales process.
Your responsibilities will include
- Supporting the VP of Sales with pipeline management, reporting, meeting preparation, action-item tracking, and sales administration.
- Maintaining accurate opportunity, quote, customer, and contact information in Q360 / CRM.
- Ensuring opportunities move through the defined sales funnel, including discovery, engineering, quote preparation, scope of work, submission, follow-up, close, and handoff.
- Assisting with quote preparation, formatting, tracking, revisions, and documentation.
- Ensuring scopes of work, pricing information, assumptions, exclusions, revisions, approvals, and change orders are properly documented.
- Tracking active opportunities, open quotes, stalled deals, overdue follow-ups, and missing information.
- Coordinating communication between Sales, Engineering, Projects, Finance, and Operations.
- Following up with clients and internal team members for missing information, scheduling details, documentation, and next steps.
- Helping prepare pipeline updates, sales reports, forecast information, and management visibility tools.
- Supporting sales meetings by preparing agendas, notes, follow-up lists, and outstanding action items.
- Managing scheduling and coordination for the Experience Center, including appointments, demos, walk-ins, client visits, and events.
- Supporting administrative requirements for the VP of Sales and sales leadership as needed.
- Helping improve sales process discipline, CRM hygiene, and documentation standards across the sales team.

What We’re Looking For The ideal candidate is organized, professional, detail-oriented, and comfortable working in a rapid-paced environment.
You should have
- Experience in sales administration, sales support, sales operations, project coordination, operations coordination, customer service, or a similar role.
- Strong organizational skills and excellent attention to detail.
- Strong written and verbal communication skills.
- Confidence following up with clients, salespeople, technical teams, and internal departments.
- Comfort working with CRM, ERP, or business management systems.
- Ability to manage multiple opportunities, deadlines, documents, and follow-ups at the same time.
- A professional and polished communication style.
- Strong follow-through and the ability to keep tasks moving.
- Proficiency with Microsoft Office, Outlook, Excel, Teams, and related business tools.
- A proactive mindset and the ability to identify missing information or process gaps before they become problems.
Experience with Q360 is considered an asset. Experience in audio visual integration, physical security, construction, technology, engineering, or project-based sales environments is also considered an asset.

This is not a direct selling role.
You will not be responsible for:
- Closing deals.
- Carrying a sales quota.
- Negotiating pricing.
- Setting pricing strategy.
- Designing technical solutions.
- Replacing the role of the salesperson.
However, you will play a very important role in making sure the sales team has the information, organization, documentation, and follow-up support needed to win and deliver business successfully.

Pay: $65,000.00-$80,000.00 per year
