Job Summary

We are seeking a agile and enthusiastic Student Services Coordinator to join our team. In this vital role, you will serve as a key point of contact for students, supporting their academic journey and ensuring a positive experience. Your energy and organizational skills will help create an engaging, welcoming atmosphere where students feel motivated and supported throughout their language learning adventure.

Student Services Coordinator at LSI Toronto (www.lsi.edu) -

Aim

To enhance the reputation of the school and the student/agent experience through the effective management of accommodation and administrative services.

Hours:

37.5 hours to be worked between the hours of 8.30am and 5.00pm, Monday to Friday. Some evening visits to host families will be needed, and some seasonal overtime may be required. Please note that holidays are not normally permitted in high season - June-Mid August,

Primary tasks and responsibilities:

Accommodation:

- Booking LSI North American schools clients with host families, residences or other accommodation (e.g. hotels, guest houses, apartments).
- To ensure that accommodation meets students’ needs as closely as possible
- Sending confirmations to accommodation providers and clients and advising them of arrival times.
- Maintaining up-to-date records of all host families on the database. 5. Monitoring and responding to student feedback.
- Advertising for and recruiting new host families, visiting them and providing them with the information necessary to host students safely and effectively in accordance with Languages Canada and LSI policy. Ensuring that all families sign to say they have read this information.




- Ensuring all documentation and compliance evidence relating to the above is collected in a timely manner and stored within our systems
- Revisiting accommodation providers at least once every two years and good relations are maintained.
- Finding new types and sources of accommodation.

10.Coordinating the work host family visitors in relationship to 4-9 above

- Submitting applications for background checks of host families in accordance with LSI’s Safeguarding Policy.

12.To organise transfer of students to new accommodation when changing accommodation provider.

13.Ensuring the transfer list for student arrivals and departures is updated and sent to our taxi company.

14.To report any issues of concern to school management.

15.Keeping records of complaints, subsequent action and resolution.

16.Checking host family payments and dealing with any queries concerning host family accounts.

17.Checking the invoices are correct for Hotel/Residences.

18.Participating in research and decision making in relationship to price and payment rates for accommodation providers.

19.Assisting in ensuring that students in LSI residences follow the terms of their residential contract, liaising with the warden staff as appropriate

LSI Toronto’s admin team operates on the basis that all members of the team can perform the majority of tasks within the scope of the team, assisting and substituting for each other.

Bookings / Enrolments - as directed by the Principal and in conjunction with the Central Enrolment Team

● Responding to and/or processing all enrolments and invoices for LSI North American schools quickly and efficiently

● Sending out course confirmations and any other documentation required.

● Ensuring receipt of Parental Contracts for students under the age of 18 prior to their arrival.

● Dealing with changes to bookings, cancellations etc.

● Organising airport transfers.

● Liaising with airport transfer personnel.

● Informing the relevant authorities of non-arrivals, early leavers or students who have stopped attending in accordance with Canadian regulations.

Secondary tasks and responsibilities:

Finance and credit control - as directed by the Principal and in conjunction with the Central Admission and Finance teams

● Helping to ensure that:





- all fees for direct students' accommodation and courses are paid in advance and that fees are collected, liaising with the Accounts department.
- payments have been received from agents when due.
- cash is banked in a timely manner and not kept on the premises except when strictly necessary.

Enquiries - as directed by the Principal and in conjunction with the Enrolment Coordinator

● Responding to direct enquiries in a timely and appropriate manner.

Welfare

● Notifying the Principal of student welfare issues that come to your attention

● Being available to advise students who may be experiencing problems e.g. in adapting to life in Canada (with reference to current Languages Canada documentation on student welfare).

● Assisting students who require help e.g. to visit a doctor

● Liaising with the Academic Manager/Administration Manager about the welfare of long-term students.

● information about local helplines, welfare contacts etc.

Marketing as directed by the Principal

● Providing information to the marketing department when requested.

● Working with agents/partners to present LSI Canada in the best light.

● Showing agents around the school and presenting LSI Toronto in the best light.

● Dealing with complaints from agents/students in a sensitive and timely manner in conjunction with the Principal/Administration Manager.

General office duties in conjunction with the Administration Team

● Supervising tasks related to the above for apprentices/interns

● To ensure all filing and administration is updated

● To ensure the office is kept in as tidy and presentable a manner as possible.

● Other office duties to include filing, answering the phone, faxing, dealing with post – all to be shared with the other office staff.

● Taking the Emergency mobile phone during the weekend on a rotation basis with colleagues (see contract for compensations)

● Opening and/or locking up the school as required.

● Checking on correspondence in the school during the winter closure on a rotation basis with the Administration Team

● Dealing with daily post

● Dealing with general enquiries by telephone, email or walk-in visitor

● Covering for members of the Administration Team in their absence.

● Attending weekly Administration Team meetings

● Other administrative tasks as necessary.

● Keeping appropriate records and archiving.

Other duties as could reasonably be expected of a Student Services Coordinator

Pay: $42,000.00-$46,000.00 per year
