Job Overview
Album Studios is seeking a highly organized, creative, and solutions-oriented Studio Coordinator to join our team on an hourly training basis for 3 months following a 13-month maternity leave contract. Working closely with the Studio Director, the Studio Coordinator will oversee studio rentals, productions, events, client relations, staff coordination, and day-to-day studio operations across our three Toronto locations. The ideal candidate has 3+ years of experience in events, event management, studio production, hospitality, or a similar fast-paced environment, with strong customer service, communication, and logistical skills.
This is a hands-on role that requires flexibility, attention to detail, and the ability to confidently manage multiple priorities from initial booking through event execution and wrap-up.
Job Schedule
- $20/hr training on a part-time basis - 30 hours per week beginning October 2026
- 13 month salary contract beginning January 2027 - 5 days a week, 9 hours per day
Duties
- Coordinate and oversee studio rentals, productions, events, and client bookings from initial inquiry through completion
- Work closely with the Studio Director to manage day-to-day studio operations and logistics
- Coordinate with internal departments to ensure bookings are fully prepared and supported
- Manage contracts, payments, equipment requirements, client communications, and booking details
- Maintain accurate and up-to-date calendars, booking systems, pricing, and studio availability
- Manage and oversee studio and event assistants, including task delegation and scheduling
- Communicate with clients by email, phone, and in person, providing professional and attentive customer service
- Conduct comprehensive studio tours for prospective event and production clients
- Prepare quotes and proposals for event clients
- Lead and support select event days, including weddings, VIP clients, and in-house hosted events
- Develop and maintain strong relationships with clients, vendors,
and industry professionals
- Build and maintain a reliable network of vendor and industry contacts
- Troubleshoot issues as they arise and provide practical, solutions-oriented support
- Ensure studios are properly prepared before bookings and reset, organized, and ready for the next booking
- Support operational and maintenance needs across the studios
- Travel between Album Studios' three Toronto locations as required for site visits and in-studio management
- Assist with general administrative and logistical responsibilities as needed
Qualifications
- 3+ years of experience in events, event management, hospitality, studio production, or a similar role
- Strong customer service and client relationship management skills
- Excellent organizational and time-management skills with exceptional attention to detail
- Ability to multitask and manage competing priorities in a fast-paced environment
- Strong written and verbal communication skills
- Creative, proactive, and solutions-oriented approach to problem-solving
- Ability to work independently while collaborating effectively with a team
- Experience coordinating staff, vendors, clients, and multiple moving parts
- Proficiency with Microsoft Outlook and Google Workspace/Google Office
- Smart Serve Certification required
- Bartending and/or bar management experience is an asset
- Valid driver's licence required
- Ability to travel between all three Toronto studio locations
- Ability to move and lift large or heavy items as required
- Flexibility to work days, evenings, weekends, and some holidays
- Must be comfortable working on event days and in a client-facing environment
- Must provide skilled references
Pay: From $49,000.00 per year
