General Description:

Responsible for contributing to enrolment management objectives by supporting prospective transfer students from inquiry through admission, evaluating upper-year and transfer applications, developing and maintaining transfer pathways and institutional partnerships, supporting recruitment and outreach activities, and providing operational expertise related to student mobility and transfer processes. The incumbent serves as a key University resource on transfer admissions, pathways, and student mobility initiatives, ensuring prospective students receive accurate, consistent, and informed guidance throughout the admissions cycle.

The role collaborates with internal and external partners to promote McMaster University as a transfer destination and support initiatives that enhance student mobility, advance enrolment objectives, and enhance the transfer student experience from inquiry through admission.

Duties and Responsibilities:

- Advise prospective transfer applicants regarding transfer pathways, student mobility opportunities, program options, admission requirements, policies, procedures, deadlines, and supporting documentation requirements, including complex and non-routine inquiries requiring individualized guidance and support.
- Meet with prospective transfer students to discuss academic goals, program options, pathways, and admission strategies.
- Provide informed guidance regarding admission opportunities and pathways based on previous postsecondary education and academic history.
- Guide applicants through the Ontario Universities' Application Centre (OUAC) transfer application process.
- Provide program-specific admission information, including Good Point Average (GPA) requirements, prerequisite courses, supplementary application requirements, and enrolment considerations.
- Refer students to appropriate campus services, resources, and support programs and promote awareness of institutional resources available, including academic advising, housing, financial assistance, childcare, accessibility services, wellness supports, and student success initiatives.
- Review and evaluate upper-year and transfer applications in accordance with University, Faculty, and program-specific admission requirements.
- Assess complex postsecondary academic histories and determine applicant eligibility for admission consideration.
- Calculate and verify admission averages and grade point averages using established institutional guidelines and admission policies.
- Review transcripts, academic records, and supporting documentation to ensure completeness, accuracy, and compliance with admission requirements.
- Make admission recommendations and identify and refer exceptional or non standard cases for further review where required.
- Collaborate with Admissions Officers and Faculty Offices to support consistent and timely admission decision-making.
- Research and interpret complex admission regulations, articulation agreements, pathway requirements and transfer credit implications when evaluating applicant eligibility.
- Monitor and manage a high volume of transfer and upper-year applications while maintaining accuracy, consistency, and service standards.
- Apply and interpret admission policies, procedures, and evaluation guidelines to support fair and equitable admissions decisions.
- Remain current on admission requirements, program criteria, enrolment targets, and policy changes affecting transfer applicants.
- Apply and provide expertise on transfer pathways, articulation agreements, and transfer credit implications to support consistent and informed applicant eligibility assessment.




- Participate in annual admissions cycle planning, process reviews, and continuous improvement initiatives.
- Maintain expertise in transfer credit policies, procedures, systems, articulation agreements, and course equivalency practices, and contribute to the development, implementation, and continuous improvement of admissions evaluation procedures, documentation, and training resources.
- Explain transfer credit assessment processes, procedures and documentation requirements.
- Assist applicants in understanding course outline and syllabus submission requirements for transfer credit evaluation.
- Represent the University as a subject matter expert at transfer education events, conferences and committees and promote at recruitment and outreach events.
- Plan, coordinate, and participate in transfer-focused outreach and yield activities.
- Estimate time and resources when planning activities
- Develop and maintain collaborative relationships with internal and external partners to support pathway development and seamless student transitions.
- Participate in committees, working groups, special projects, cross-training and knowledge-sharing activities to promote service continuity and operational resilience.
- Serve as the primary university resource for Faculty Offices, academic departments, and administrative units on transfer admissions, student mobility initiatives, pathway development, and transfer student support, providing guidance, training, and consultation to support institutional objectives
- Support the development, implementation and promotion of institutional transfer initiatives, mobility strategies and articulation agreements.
- Identify opportunities to increase consistency, awareness, and best practices in transfer admissions and transfer-related processes across the institution, and develop recommendations to enhance services, processes, and the transfer student experience.
- Monitor sector developments and emerging practices affecting transfer students and student mobility.
- Maintain familiarity with transfer credit workflows and institutional policies to support business continuity and uninterrupted service delivery.
- Develop and maintain policies, procedures, and related documentation and resources to support the complex transfer processes and operational continuity.
- Collaborate with team and internal partners to identify service gaps, applicant trends, and process improvement opportunities.
- Collect, analyze, assess, and summarize information related to transfer admissions, pathway activity, and student mobility initiatives, and assist in the preparation of reports, presentations, business cases, and recommendations.
- Maintain accurate records, files, databases, and documentation related to transfer admissions, pathway development, and student mobility initiatives.
- Track and report on transfer applicant activity, outreach initiatives, partnership engagement, and enrolment trends.
- Coordinate and support projects, meetings, events, and initiatives related to transfer admissions and student mobility.
- Provide coverage when necessary to ensure operational continuity.

Supervision:

- Provides functional guidance to others on an ongoing basis.
- Ensures adherence to quality standards and procedures for short-term staff (less than 12 months) and volunteers for events and activities (may includes staffing for short-term needs).
- Has ongoing responsibility for supervising (may include selecting) of 1 - 9 casual employees (at any one time).

Qualifications:

- Bachelor's degree in a relevant field.
- Requires a minimum of 3 years of relevant experience in admissions, student services, recruitment, academic advising, enrolment management, transfer credit, or a related postsecondary environment.
- Valid and unrestricted Ontario Class G license
- Experience evaluating postsecondary academic credentials and admission applications within a university admissions environment.
- Demonstrated ability to assess complex academic records and interpret admissions policies and procedures.




- Thorough knowledge of Ontario postsecondary education systems, transfer pathways, articulation agreements, and transfer admissions processes.
- Knowledge of OUAC application processes, transfer admissions practices, and enrolment management principles.
- Demonstrated ability to manage large application volumes while maintaining a high degree of accuracy, consistency, and attention to detail.
- Ability to develop expertise in complex transfer credit policies, procedures, and systems to support operational continuity and service delivery.
- Strong interpersonal, communication, presentation, and relationship-building skills.
- Ability to develop and maintain effective working relationships with students, faculty, staff, and external partners.
- Demonstrated ability to build and maintain collaborative partnerships with internal and external partners to support student mobility, transfer initiatives, and pathway development.
- Strong analytical, organizational, problem-solving, and decision-making skills.
- Experience researching, analyzing, and presenting information to support planning and continuous improvement initiatives.
- Ability to manage multiple priorities and work independently in a fast-paced, deadline-driven environment.

Proficiency with student information systems, databases, Microsoft Office applications, CRM platforms, and reporting tools. Demonstrated ability to work collaboratively within a specialized team workplace while exercising sound judgment and independent decision-making.
