Position SummaryThe Executive Assistant to the Kúkpi7 provides high‑level confidential support, managing communication, records, and filing, and assists with the Public Relations, External Affairs, Legal, Title and Rights portfolio for Tk’emlúps te Secwépemc (TteS). The role is the first line of contact for Kúkpi7, ensuring effective execution of a broad range of administrative and governance duties.ResponsibilitiesMaintain confidentiality and organize files, records, and confidential information.Prioritize inquiries and requests, troubleshoot conflicts, and recommend solutions.Manage calendar and schedule of meetings, providing briefing notes and agenda materials.Review and prioritize incoming e‑mails and external requests, drafting responses on Kúkpi7’s behalf.Provide administrative support for speeches, presentations, public appearances, and community events.Collaborate with executives and staff to ensure alignment on key initiatives and priorities.Stay updated on industry trends and best practices, recommending improvements.Complete templated action sheets for all correspondence.Communicate internally with the Council, Admin, and Executive Teams.Coordinate meetings, events, and travel plans; collate and distribute materials.Assist with public and media relations, social media publications, and inquiries.Produce purchase orders, payment requests, and assist with budget tracking.Maintain a professional filing system and manage documents electronically.Serve as liaison between Kúkpi7 and internal/external stakeholders, including government officials and community members.Manage multiple projects, conduct research, and compile information for initiatives.Handle day‑to‑day bookkeeping, process invoices, travel claims,
and requisitions.QualificationsDiploma in Office Administration or equivalent experience; Bachelor’s degreepreferred.Minimum five years of direct Executive Assistant experience supporting C‑suite or senior leaders.Legal Assistant experience or equivalent background.Strong keyboarding, word processing, spreadsheet, internet, and database skills.Successful completion of a criminal record check.Ability to work independently with minimal supervision and adapt to changing priorities.Experience in fast‑paced environments.Financial ResponsibilityWhile this position does not manage a direct budget, the Executive Assistant:Ensures the Kúkpi7 budget is updated and reconciled.Assists in preparing the Kúkpi7 annual budget and monitors expenses.Processes reimbursable travel claims in a timely manner.Skills and AbilitiesExcellent communication across diverse teams.Strong problem‑solving, collaboration, and alignment skills.Proficiency in Microsoft Office, Adobe Acrobat, and social media platforms.Superior organizational, filing, and time‑management abilities.Discretion in handling confidential information.Independent workload management, meeting deadlines in a fast‑paced setting.Solid interpersonal skills and relationship building with stakeholders.Forward‑looking mindset with proactive solution‑seeking.Understanding of Indigenous culture and inclusion practices.BenefitsExtended health, dental, and vision coverage.7.6% Registered Pension Plan matching and Life insurance.Hours of WorkNormal day shifts: 7 hours.
