Job Description:
We are looking for a Receptionist to support day-to-day front desk and workplace services for a busy office in Burnaby, British Columbia. This is a Contract position suited to someone who is organized, approachable, and comfortable coordinating visitor arrivals, meeting room needs, and administrative tasks in a high-traffic environment. The successful candidate will help create a welcoming and well-organized experience for employees, guests, and service providers while keeping office operations running smoothly.
Responsibilities:
- Welcome employees, guests, and vendors at the front desk and ensure each visitor is directed to the appropriate contact promptly.
- Serve as a central point of contact for workplace requests by monitoring shared communications and relaying inquiries to the site team as needed.
- Coordinate visitor and contractor access, including arranging escorts, supporting access card distribution, and communicating site procedures.
- Oversee incoming and outgoing mail, courier items, and deliveries, ensuring materials are sorted and distributed accurately.
- Arrange meeting spaces for daily use by scheduling rooms, organizing room layouts, coordinating catering, and resetting spaces after meetings.
- Keep refreshment and common areas stocked, orderly, and presentable,
including light kitchen support such as managing dishwasher loading and unloading for the assigned floor.
- Complete administrative support duties such as data entry, records maintenance, distribution list updates, and file organization.
- Track and manage service requests and work orders to support efficient facility operations and timely follow-up.
- Maintain a consistent front desk presence while responding professionally to changing priorities in a fast-paced office setting.
Requirements:
- Previous experience in a receptionist, front desk, or customer service role within a detail-focused office environment.
- Strong interpersonal skills with the ability to communicate effectively with internal teams, visitors, and external service providers.
- Proficiency with Microsoft Word, Excel, Outlook, and general office systems, along with accurate keyboarding and data entry skills.
- Experience handling email correspondence, scheduling, and multi-line phone or front desk communications.
- High attention to detail, including strong grammar, organization, and records management capabilities.
- Ability to manage multiple requests at once and adjust quickly to changing priorities with a versatile, solutions-focused approach.
- Understanding of customer service best practices and a commitment to maintaining detail-focused workplace standards.
