Our client, HeatLink, is a Calgary-based manufacturer and supplier of radiant heating, plumbing, and snow-melting systems, serving residential and commercial markets across North America. The organization provides a comprehensive range of integrated piping and heating solutions and is supported by an experienced team focused on delivering practical, high-quality products to contractors, distributors, and industry partners.
Position Summary
The Warranty & Technical Claims Specialist will take full ownership of the warranty lifecycle, from initial claim intake and forensic evaluation to final resolution and supplier recovery. This role acts as the critical bridge between customers, quality engineering, and supply chain partners. The ideal candidate will possess a blend of technical curiosity (understanding how and why things fail) and robust administrative discipline to manage documentation, track failure trends, and recover costs from suppliers.
Key Responsibilities
1. Claim Evaluation & Forensic Analysis
- Manage the end-to-end processing of all product warranty claims.
- Conduct physical and visual inspections of returned components to determine the root cause of failure (e.g., manufacturing defect, material degradation, improper installation,
or environmental factors).
- Review site data, operational logs, and reports to contextualize the failure.
- Coordinate with internal engineering teams or external laboratories for advanced material testing (such as FTIR analysis or microscopy) when required.
2. Supplier Relations & Cost Recovery
- Act as the primary point of contact for component suppliers regarding quality issues and warranty claims.
- Prepare comprehensive technical evidence packages to challenge supplier discrepancies and secure financial recovery for defective parts.
- Track supplier response times and hold vendors accountable to established quality agreements and SKU specifications.
3. Data Tracking, Reporting & Continuous Improvement
- Maintain a meticulous digital ledger of all open, pending, and resolved claims.
- Analyze warranty data to identify recurring failure modes, material vulnerabilities, or problematic product batches.
- Provide regular reports to Product Management and Supply Chain to inform product updates, supplier evaluations, and quality goals.
4. Stakeholder Communication
- Communicate technical findings and claim determinations clearly and professionally to customers, contractors, and internal sales teams.
- Draft formal warranty determination letters and incident reports.
Candidate Profile & Requirements
The ideal candidate isn't just an administrator; they are an analyst who enjoys solving puzzles and maintaining high standards of data integrity.
Experience & Education
- Experience: 3+ years in a technical warranty, quality assurance, forensic engineering support, or product claims role (ideally within manufacturing, industrial components, or technical building materials).
- Education: Diploma or degree in a technical or engineering discipline (e.g., Mechanical, Materials, or Industrial Engineering Technology) or equivalent hands-on industry experience.
Technical Skills & Competencies
- Blueprint & Standard Literacy: Ability to interpret complex technical drawings, dimensional specifications, and industry compliance standards.
- Root Cause Analysis: Familiarity with failure analysis methodologies and basic hands-on inspection tools.
- Data & Automation Aptitude: Proficient with ERP systems, Excel, and data-logging tools. (Bonus points if they have familiarity with basic programming for automating report generation and data manipulation).
- Strong Technical Writing: Ability to translate complex metallurgical, chemical, or mechanical failure modes into clear, concise professional reports.
Soft Skills & Cultural Fit
- Objective & Analytical: Driven by data and evidence when evaluating disputed claims.
- Firm yet Diplomatic: Capable of defending the company's position to a supplier or delivering tough news to a customer while maintaining a professional relationship.
- Process-Oriented: Exceptional attention to detail with zero tolerance for incomplete files or loose ends.
