About the opportunity
Dr. Marie Noland’s reconstructive and aesthetic plastic surgery practice is seeking a warm, highly organized Medical Office Assistant to join our team.
Working alongside Dr. Noland and her administrative team, you will help deliver an exceptional patient experience and support the smooth day-to-day running of the practice. This role suits someone who enjoys connecting with patients, looks ahead, and takes pride in seeing tasks through to completion.

Your responsibilities
Patient communication and service
- Welcome patients, manage check-in and rooming, and help appointments run smoothly.
- Answer telephone calls with warmth, patience, and professionalism.
- Respond to inquiries and messages promptly, document relevant communication in Accuro, and coordinate follow-up.
- Handle patient concerns with empathy, professionalism, and appropriate follow-through.
- Help patients understand administrative next steps while directing clinical questions to the appropriate team member.
Scheduling and surgical coordination
- Coordinate consultations, procedures, surgical bookings, and postoperative appointments.
- Maintain accurate waitlists and patient booking information.
- Prepare upcoming clinics and surgical paperwork, following up on missing information.
- Identify scheduling gaps, approaching deadlines, and booking obstacles early.
Office organization and teamwork
- Manage referrals, incoming documents, and administrative tasks in Accuro.
- Track outstanding items with clear next steps and follow-up dates.
- Coordinate with the administrative team on patient handoffs, paperwork, and booking requirements.
- Assist with payments and routine office administration.
- Suggest practical improvements to efficiency, accuracy, and patient service.
What we’re looking for
Required
- Previous experience working as a Medical Office Assistant.
- Excellent organization and attention to detail.
- A warm, professional telephone manner and clear written communication.
- Experience using an electronic medical record and confidence learning office technology.
- A dependable approach to prioritizing tasks and following through.
- Initiative and sound judgment, including knowing when to ask questions or seek direction.
- Respect for patient confidentiality and qualified boundaries.
- A collaborative attitude and openness to feedback and evolving workflows.
Strongly preferred
- Experience in a surgical or specialist practice, particularly surgical booking and coordination.
Additional assets
- Accuro EMR experience.
- Experience in a private clinic or another setting with high standards of personalized service.
What success looks like
Patients feel welcomed, informed, and cared for. Upcoming clinics are well prepared. Records and waitlists are accurate. Outstanding tasks have clear next steps, and potential problems are identified and communicated early.
You take pride in both the personal interactions patients remember and the careful organization that supports their care.
Pay: $25.00-$29.00 per hour
Expected hours: 30.0 – 40.0 per week

A patient arrives for their appointment.
The phone starts ringing.
You discover that paperwork for a surgery in two days is incomplete.
Dr. Noland sends a routine administrative request with no stated deadline.
Explain how you would approach the situation: your first actions, any information or support you would seek, and how you would ensure the remaining tasks were not forgotten.
- Initiative, problem-solving, and ownership
Describe a specific time you noticed an administrative problem or an upcoming gap before being asked to address it.
What was the problem? What options did you consider, which approach did you recommend or take, and why? Explain when you involved others and how you confirmed the issue was resolved.
