Administrative Assistant
Location: In-Person – Lacombe, AB

About the Role
The Administrative Assistant is at the heart of our client experience and daily insurance operations and will primarily be based out of our partner firm in Lacombe, AB. You’ll work closely with our advisors and the operations team to ensure every client interaction reflects the high standards of care and professionalism our firm is known for.
Beyond providing exceptional administrative support, this position will offer you the opportunity to help improve processes, coordinate projects, and contribute to the overall growth of the practice. Key Responsibilities
Client Experience
- Deliver a warm, professional, and memorable experience for every client.
- Help coordinate, prepare for, and follow-up client meetings.
- Assist with appointment coordination, preparation, and follow-up communications.
- Respond to client inquiries promptly and professionally.
- Assist with client appreciation events, educational seminars,
and special initiatives.
Administration & Operations
- Support advisors and the operations team with day-to-day administrative activities.
- Prepare correspondence, reports, presentations, and client documentation.
- Maintain accurate and confidential client records.
- Assist with regulatory and administrative requirements.
- Support implementation of current processes and technology.
Practice Growth
- Identify opportunities to improve efficiency and client service.
- Help develop and document office procedures.
- Participate in projects that support the firm’s continued growth.
- Take ownership of initiatives and contribute ideas that strengthen the business.

Qualifications
- 2+ years of experience in administration, executive support, office management, or client service.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication.
- Strong proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- Ability to manage multiple priorities while maintaining exceptional attention to detail.
- High degree of professionalism, discretion,
and integrity.
- Solid initiative and sound judgment.
- Experience in financial services, wealth management, or another professional services environment is considered an asset.
- Willingness to travel between our Lacombe & Sylvan Lake firms, as needed, for training, coverage needs, etc.
