About the Role

Our client, Kevco Pallets is looking for an organized and proactive Order & Logistics Coordinator to join their growing pallet team.

As a leading pallet provider, Kevco sources and supplies used, new and custom-built wooden pallets. They work with trusted partners to provide practical, cost - effective solutions for their clients. Their goal is simple: to keep supply chains running smoothly while helping reduce their impact on the environment.

Kevco purchases used pallets for repair and return to the market (70%). They also manufacture new and custom pallets for direct sale to customers (30%). This role helps coordinate the day-to-day flow of these purchases and sales by processing customer and supplier orders, coordinating pickups and deliveries, and following orders through to completion.

Much of our day-to-day communication takes place by phone and email, so this role is well suited to someone who communicates clearly, stays on top of details and takes ownership of making sure things get done.

The position handles a steady volume of activity, including approximately 20 orders or quotes per day and 150–200 invoices per month, while maintaining regular communication with customers, suppliers, transportation providers and their warehouse team.

What You'll Be Responsible For

Order Management & Customer Service

- Receive and process customer orders by phone and email.
- Prepare and enter sales orders and purchase orders accurately in QuickBooks Online.
- Confirm pricing, pallet grades, quantities, delivery requirements and other order details.
- Track open orders from receipt through pickup or delivery and proactively follow up on outstanding items.
- Keep customers informed of order status, delivery timing and any changes or delays.
- Respond to customer questions and help resolve order discrepancies, shortages and other service issues in a timely and professional manner.
- Review customer activity and past orders and follow up with existing customers as required.

Supplier Orders & Coordination

- Process and coordinate pallet purchases from suppliers throughout the Greater Toronto Area and surrounding regions.
- Maintain regular communication and positive working relationships with pallet suppliers.
- Confirm quantities, pallet grades, pricing, pickup requirements and other details for supplier purchases.




- Work with suppliers and internal team members to ensure incoming pallet orders are processed accurately and required information is communicated.

Logistics & Delivery Coordination

- Schedule and coordinate pickups and deliveries with customers, suppliers, truck drivers, transportation providers and warehouse personnel.
- Ensure all parties have the information required to complete pickups and deliveries accurately and on schedule.
- Monitor scheduled pickups and deliveries and proactively follow up when delays, shortages or other issues arise.
- Work closely with warehouse staff and suppliers to coordinate incoming and outgoing pallet orders.
- Help resolve delivery and transportation issues and communicate changes to affected customers and suppliers.

Administration & Operations Support

- Maintain accurate and up-to-date customer, supplier and order information.
- Keep order documentation and records current and organized.
- Prepare regular sales, purchasing and order activity reports (weekly, monthly) and special reports as required
- Support new customer account setup and related internal coordination.
- Provide administrative and operational support to the purchasing and sales teams as required.

What We're Looking For

- A minimum of 2 years of experience in order processing, logistics coordination, purchasing administration, dispatch or a similar operations-focused customer service role.
- Strong written and verbal communication skills and confidence communicating with customers, suppliers, drivers and internal team members.
- Strong organizational skills and attention to detail, with the ability to manage multiple active orders and priorities at the same time.
- Good problem-solving skills and the ability to recognize when something requires follow-up and take action before it becomes a larger issue.
- Comfort working with numbers, quantities, pricing and basic calculations.
- Proficiency with Microsoft 365 and the ability to learn new business systems quickly.
- Ability to work independently,



take ownership of responsibilities and contribute effectively as part of a small team.
- Professional, dependable and comfortable working in a busy operational environment.

Experience That Would Be an Asset

- Experience in pallets, recycling, transportation, logistics, distribution, manufacturing, packaging or a similar operational workplace.
- Experience coordinating deliveries, transportation providers or warehouse activities.
- Experience processing supplier purchases or working with suppliers.
- Experience with QuickBooks Online (QBO) or a similar order or accounting system.

What Success Looks Like

Success in this role means staying ahead of orders rather than simply reacting when something goes wrong. You will know what is outstanding, follow up when information is missing, communicate changes quickly and work with customers, suppliers, drivers and the warehouse team to keep orders moving.

Accuracy, timely communication and follow-through are key. Kevco has an established customer and supplier base, and we expect the successful candidate to quickly become familiar with these relationships and increasingly manage day-to-day order and logistics activity independently.

Working at Kevco

This is a full-time, office-based position located in Mississauga.

You will have your own office, providing a comfortable setting for conversations with customers and suppliers, while working closely with management and our warehouse team.

We offer:

- Competitive salary of $50,000–$60,000, depending on experience
- Regular Monday-to-Friday working hours
