The Opportunity:
The Sales Coordinator provides administrative and operational support to the sales team, helping ensure customer inquiries, quotes, orders, and projects are handled accurately and efficiently.
The ideal candidate is highly organized, detail-oriented, customer-focused, and comfortable managing multiple priorities in a fast-paced environment.
Responsibilities:
Sales & Customer Support
· Provide day-to-day administrative support to the sales team.
· Respond to customer inquiries and provide timely follow-up.
· Prepare and distribute quotations, proposals, order confirmations, and other sales documentation.
· Assist Sales Representatives with pricing, product information, lead times, and availability.
· Enter and maintain customer and sales information in NetSuite.
· Follow up on outstanding quotations and customer requests.
· Maintain accurate records of customer communications, opportunities, and sales activities.
· Assist with preparing presentations, product information, and other sales materials.
Order & Project Coordination
· Process sales orders accurately and ensure all required information is received before orders are released.
· Coordinate with Project Management, Production, Purchasing, and Shipping to ensure customer requirements and timelines are communicated.
· Monitor order status and provide updates to the sales team and customers as required.
· Assist with coordinating samples, product specifications, and product documentation.
· Track project milestones, delivery dates, and outstanding items.
· Identify and communicate potential delays, discrepancies, or issues to the appropriate team members.
Administrative Support
· Maintain organized and up-to-date sales files, records, and documentation.
· Assist with sales reports, forecasts, and other administrative reporting.
· Schedule meetings, customer calls, and sales-related activities as required.
· Assist with processing purchase orders, change orders, and other customer documentation.
· Support the sales team with general administrative tasks and special projects.
· Ensure information entered into internal systems is accurate and current.
Internal Coordination
· Communicate effectively with Sales, Project Management, Design, Purchasing, Production, Accounting, and Shipping.
· Ensure customer requirements and special instructions are clearly communicated internally
· Assist in resolving customer service issues and escalating concerns when necessary.
· Work collaboratively with internal departments to maintain high levels of customer service.
Qualifications:
· 2+ years of experience in sales coordination, sales administration, customer service, order processing, or a related role.
· Experience in manufacturing,
construction, architectural products, lighting, or a similar industry is an asset.
· Strong organizational and time-management skills.
· Excellent attention to detail and accuracy.
· Strong written and verbal communication skills.
· Ability to manage multiple projects and deadlines simultaneously.
· Strong customer service skills and a professional demeanor.
· Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
· Experience with Netsuite is an asset.
· Ability to work independently while also contributing effectively to a team.

Pay: $48,000.00-$58,000.00 per year
