Who we are looking for

Ward’s Hydraulic Services is seeking a highly capable, technically minded Executive Assistant to support in a fast-paced industrial environment. This role is a critical support function that blends executive coordination with operational awareness, acting as a key extension of the Director of Operations within the business.

The Executive Assistant will serve as a central hub between the Director of Operations and the organization, ensuring priorities are executed efficiently across service, shop, and field operations. This includes managing executive scheduling and communications, coordinating meetings and follow-ups, and ensuring accountability on action items across multiple teams.

Working closely with internal teams, clients, and vendors, this individual will help drive alignment across the organization, track key initiatives, and ensure commitments and deadlines are met. They will also support broader business activities including proposal development, vendor coordination, KPI reporting, and continuous improvement initiatives across operations and service delivery.

The ideal candidate brings proven experience supporting senior leadership in a dynamic environment. They are proactive, highly detail-oriented,



and comfortable operating in a fast-changing setting where priorities shift quickly and problem-solving is constant.

Above all, this role requires a trusted professional who can handle confidential information with discretion, anticipate the needs of the Director, and contribute meaningfully to the efficiency and performance of the business.

Qualifications

- Post-secondary diploma or certificate in Business Administration, Operations Management, or a related field
- 5+ years of experience supporting senior leadership or working in operational coordination roles
- Experience in industrial, service, or technical environments strongly preferred
- Exposure to field service, maintenance, or engineering-driven work environments is an asset
- Strong understanding of Microsoft Office Suite (Word, Excel, Project)
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- High attention to detail and accuracy
- Ability to manage confidential information with discretion
- Comfortable working in a fast-paced, changing environment
- Robust problem-solving mindset with a proactive approach
