Job Overview:

We are seeking a highly detail-oriented and organized Scheduling Coordinator to join our team. This in-person vacant contract role is vital in managing schedules and ensuring seamless communication with customers and across internal departments. While working in a fast paced work environment, the ideal candidate will possess strong data entry, analysis skills, and excellent communication abilities to facilitate efficient scheduling processes.

Job Responsibilities:

- Develop and maintain accurate daily and weekend schedules.
- Monitor work progress and ensure assigned activities are completed within established timelines.
- Manage scheduling while ensuring compliance based on employee qualifications and business requirements.
- Analyze scheduling data to identify potential employee absenteeism, employee training, and scheduled calls.
- Provide customer confirmations and follow ups for scheduled appointments.
- Reschedule customer appointments due to cancellation, additional services or other.
- Communicate and confirm customer appointment, billing information effectively with customers and internal teams members while demonstrating professional phone etiquette and customer service skills.
- Collaborate with internal department to seek technical information prior to booking customer appointments.
- Ensure materials and equipment are included on the internal documentation for each customer.
- Respond to customer inquires by assisting in resolving complaints when needed.
- Ensure customer appointments are scheduled based on the required services.
- Ensure services for customer appointments are documented and complete matching all costs against the services performed.




- Collaborate with supply chain teams to streamline processes and improve overall efficiency.
- Other duties assigned.

Job Qualifications:

- Minimum Post Secondary Diploma.
- 3-5 years of similar job experience.
- Ability to work with a scheduling ERP and learn new ERP systems as needed.
- Excellent data entry skills with high accuracy; proficient in typing
- Analytical skills to interpret scheduling data and identify process improvements.
- Effective communication skills for coordinating with both customers and internal team members.
- Strong organizational skills with the ability to manage multiple priorities in a quick-paced environment.
- Professional phone etiquette and interpersonal skills with the ability to problem solve quickly.
- Detail-oriented with the ability to handle high pressure and meet deadlines.
- Demonstrate commitment to professionalism and integrity.
