Job Description

The Role: As a Fleet and Safety Coordinator reporting to the Operations Manager, you will play an important role in supporting the safe, efficient, and organized operation of the company’s fleet, assets, and safety programs. Your strong coordination, organizational, and communication skills will help ensure company resources are well maintained, records are kept current, and safety requirements are consistently supported across the organization.

Responsibilities:

Fleet and Asset Management

- Coordinate vehicle preventive maintenance, schedule service appointments and carry out planned repairs.
- Basic auto detailing and assist in service of NIC vehicles (Change Oil, Tire Swap, Repair etc)
- Complete annual inspections and weekly light vehicle inspections of NIC vehicles through SiteDocs
- Maintain fleet documentation and records.
- Monitor GPS tracking systems.
- Order and distribute vehicle decals.
- Track insurance renewals and vehicle registrations.
- Complete pre-and post-trip inspections of the vehicle, following up with maintenance as required.
- Operate skid steer and loaders, power tools, forklift, bobcat, and other construction equipment
- Drive company vehicles as required for business purposes.
- Track, label, and maintain company assets.
- Coordinate equipment preventive maintenance and routine repairs.
- Coordinate asset documentation, including invoices and bills of sale.
- Monitor assets through tracking systems.
- Coordinate onsite asset labeling and servicing.
- Help organize material and inventory tools, equipment, materials, and supplies to maintain a clean and well-organized yard, shop, and storage.
- Prepare tools, equipment, and materials for outbound shipment. Ensure mobilization requirements are met and for demobilization, coordinate with Site Supervisor to report any repairs or deficiencies.
- Determine repair categories and confirm appropriate cost allocations with Operations Manager.




- Manage Starlink equipment tracking and troubleshoot issues as required.
- Monitor Starlink assets through tracking systems.
- Perform related duties as assigned.

Safety & Training

- Facilitate safety orientation for new employees and prepare jobsite binder and related documents for site use
- Ensure compliance with workplace safety regulations and assist in safety audits as needed.
- Monthly office and yard safety inspections through SiteDocs.
- Regularly update and manage SiteDocs to ensure all employee certifications and safety records are current.
- Notify employees in advance to complete required renewals or updates
- Order safety equipment in a timely manner and book required trainings as needed
- Monitoring and distribution of Safety tablets.
- Coordinate internal and external safety audits, and compile required documentation.
- Record Maintenance

Requirements:

- Relevant experience in fleet and asset coordination and safety.
- Strong organizational, administrative, and logistical coordination skills.
- Strong attention to detail with the ability to maintain accurate records and documentation.
- Ability to thrive in remote and challenging environments.
- A commitment to safety, precision, and quality work.
- A passion for developing long-term solutions that make a meaningful impact.
- Valid Class 5 Drivers License.

Work Schedule

- Monday to Friday 8:00 am – 5:00 pm with 1 hour lunch break
- Fulltime, 30 to 40 hours a week. Hours may change based on workload. Additional hours on weekends available, as needed.

Location: Yellowknife, NT

Compensation and benefits:

- Wage range: starting at $30/hour, paid bi-weekly.
- 4% vacation pay, paid bi-weekly.
