DISPATCH / ADMIN COORDINATOR — ORGANIZED CHAOS EXPERT WANTED

We are a growing plumbing and HVAC service company looking for a strong Dispatch / Administrative Coordinator to join our office team.
If you’re the kind of person who can answer a phone, move three things around on a schedule, send an email, help a customer and somehow still remember what you were doing before all of that happened…

We service multi-family residential and commercial buildings throughout Calgary and surrounding areas, and our office team plays a major role in keeping everything moving.
This is not a sit-around-and-wait-for-the-phone-to-ring kind of job.

WE LIKE TECHNOLOGY

Our team uses modern apps and software for:
- Technician dispatching
- Work orders
- Customer communication
- Quotes
- Preventative maintenance scheduling
- Service reports
- Building and equipment information
- Invoicing
- Fleet coordination
- Internal communication
If you’re comfortable learning software, working from multiple screens and keeping information organized, you’ll probably feel right at home.
And if you’re still using sticky notes for everything…

WHAT DOES DISPATCH LOOK LIKE HERE?
You’ll help coordinate plumbers and HVAC technicians working throughout Calgary and surrounding communities.
Your day may include:
- Scheduling service calls
- Dispatching technicians
- Communicating with customers and property managers
- Keeping technicians updated throughout the day
- Booking return visits
- Following up on approvals and parts
- Coordinating building shutdowns
- Updating job notes and customer information
- Monitoring emails and incoming requests
- Assisting with administrative tasks
- Helping make sure important details don’t fall through the cracks
In other words:
You help keep the wheels turning.
WHO WE'RE LOOKING FOR
You don’t necessarily need plumbing or HVAC experience.
But you do need to be:
- Organized
- Friendly
- Confident on the phone
- Comfortable dealing with customers
- Good at multitasking
- Detail-oriented
- Comfortable with computers and mobile apps
- Able to prioritize when several things become urgent at once
- Willing to learn
- Able to communicate clearly with both office staff and tradespeople
Experience in any of the following is a major asset:
- Dispatch
- Customer service
- Property management
- Construction
- Plumbing or HVAC
- Service companies
- Scheduling
- Administrative coordination
YOU’LL PROBABLY ENJOY THIS JOB IF...
You secretly enjoy organizing things.
You’re the person in the group chat who actually makes the reservation.
You notice when something has been forgotten.
You can handle a busy phone without panicking.
You like checking things off a list.
You can talk to a technician at 8:00 AM, a property manager at 8:05 AM and a supplier at 8:10 AM without forgetting who is who.
And when someone says:
“Can you just squeeze one more call into the schedule?”
…you don’t immediately throw your computer out the window.
