Overview

We are seeking a dynamic and organized Receptionist/Administrative professional to join our team! This vital role offers an exciting opportunity to be the welcoming face of our organization while managing essential administrative functions. You will be the first point of contact for visitors and callers, ensuring smooth daily operations through effective communication, organization, and multitasking. Your energetic approach and attention to detail will help foster a positive environment and support our team’s success.

Must be available for rotating weekends and evenings.

Responsibilities

- Greet visitors warmly and professionally, directing them appropriately and maintaining a friendly front desk presence
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent phone etiquette
- Handle data entry tasks accurately using Microsoft Office, and Jane, as needed for scheduling appointments, record keeping and invoicing
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records
- Support administrative tasks such as scheduling appointments, managing calendars, and coordinating meetings
- Assist with basic bookkeeping duties including inputting of product information, invoicing, billing, and tracking expenses




- Provide exceptional customer service by addressing client needs promptly and courteously, supporting overall customer support efforts

Experience

- Proven clerical or administrative experience in a clinical setting with robust organizational skills
- Familiarity with office equipment including multi-line phone systems, fax machines, and printers
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer skills
- Experience with data entry, proofreading documents, and maintaining accurate records
- Previous experience in a medical or aesthetic office is highly desirable, including familiarity with front desk operations in healthcare environments
- Knowledge of QuickBooks or bookkeeping software is a plus for handling financial transactions accurately
- Strong customer service skills combined with professional phone etiquette to support client interactions effectively

Pay: $16.80-$24.00 per hour
