Accounts Payable Specialist

Summary / Objective The successful candidate will join a fast-growing, high-volume organization and play a key role within the Finance Department. The Accounts Payable Specialist will be responsible for managing various aspects of the full-cycle Accounts Payable (AP) process while working cross-functionally with internal departments, vendors, and other Finance teams.

Reporting to the Manager, Accounts Payable, the AP Specialist will be responsible for processing and reconciling invoices, maintaining accurate vendor accounts, preparing AP and month-end reports, and supporting the period-end closing process. The role will also provide support for bank and intercompany reconciliations, payment processing, and certain treasury-related activities.

The successful candidate will be highly organized, detail-oriented, and comfortable working in a fast-paced, high-volume environment. Strong communication and relationship-building skills are essential, as the position will regularly interact with internal business partners, vendors, and other stakeholders.

Essential Functions

Accounts Payable & Vendor Management

- Manage the full-cycle Accounts Payable process, including receiving, verifying, coding, and processing invoices for payment through manual entry and electronic file uploads.
- Perform vendor credit management activities, including completing credit applications and maintaining accurate vendor master data and account setup within the ERP system.
- Prepare and process purchase orders (POs) for the Finance Department and provide training and guidance to other departments on PO creation and the applicable approval workflow for operating expense (OPEX) invoices.
- Process and reconcile Demurrage & Detention, freight-related costs, duties, and other specialized invoices, working with vendors, customs, and internal stakeholders as required.
- Review and reconcile vendor accounts regularly, investigate discrepancies, and resolve outstanding issues in a timely manner.
- Review customer rebate invoices in collaboration with the General Ledger (GL) and Accounts Receivable (AR)



teams and prepare approved rebate invoices for payment.
- Review and process employee expense reports using data from the Concur Expense platform.
- Support petty cash tracking and record related transactions in the ERP system for designated business units.

Payments & Treasury Support

- Prepare weekly AP aging reports and payment schedules to identify invoices requiring payment by EFT, ACH, wire transfer, or other payment methods.
- Record vendor payments in the ERP system and ensure payments are properly applied to outstanding invoices.
- Assist with payment preparation and processing within the ERP system and banking platforms, as required.
- Reconcile corporate credit card statements and prepare monthly journal entries for posting.
- Prepare journal entries related to bank charges and intercompany account transfers.
- Perform bank and intercompany account reconciliations and investigate and resolve outstanding discrepancies.

Reporting & Month-End Close

- Prepare monthly AP aging reports and other AP-related reports to support management reporting and financial analysis.
- Prepare consolidated monthly purchase reports covering vendors and business activities across China, the United States, Mexico, and other international markets.
- Support the month-end and period-end financial close process by preparing reconciliations, journal entries, reports, and other required schedules.
- Maintain accurate and complete supporting documentation for AP transactions and account reconciliations.

Collaboration & Process Support

- Build and maintain strong working relationships with internal business owners, Finance teams, other departments, and external vendors by responding to inquiries promptly and professionally.
- Research and resolve invoice, payment, vendor account, and reconciliation-related inquiries and discrepancies.




- Cross-train with other members of the AP team to provide effective coverage and ensure continuity of operations.
- Identify opportunities to improve AP processes, controls, reporting, and efficiency.
- Assist with ad hoc strategic and operational projects and other duties as assigned.

Required Education & Experience

- Post-secondary education in Accounting, Finance, Business Administration, or a related discipline.
- 2–5 years of experience in full-cycle Accounts Payable and bank reconciliation within a corporate or multi-entity environment.
- Solid understanding of Generally Accepted Accounting Principles (GAAP).
- Demonstrated experience working in a global, multi-entity environment.
- Intermediate Microsoft Excel skills, including the use of complex formulas, data analysis, and reporting.
- Experience with Dynamics NAV/Navision, SAP, or a similar ERP system is considered an asset.
- Experience with Concur Expense or similar expense management platforms is considered an asset.
- Ability to communicate verbally and in writing in Mandarin is considered an asset.
