Objective and Scope
MWA is seeking an Administrative Assistant to provide high-level administrative and client service support to an established wealth advisory practice. This role reports to a Senior Advisor, serves as a key point of contact for clients, helps manage day-to-day inquiries and workflow, and uses sound judgment to determine what can be handled independently and what needs to be escalated to an Advisor.
The Administrative Assistant will prepare for client meetings, complete accurate documentation, support account-related requests and provide timely follow-up. The role requires someone who already understands the fundamentals of a wealth advisory environment and can confidently work with investment terminology, client documentation and administrative requests.
Responsibilities
- Serve as a key point of contact for clients, responding to day-to-day calls and emails, assisting with routine requests, and determining when matters need to be escalated to an Advisor.
- Prepare accurate and complete paperwork and documentation for client transactions, account updates, redemptions, transfers, onboarding and other advisor-directed activities before submission for processing.
- Prepare for client meetings by gathering updated statements, previous meeting notes and relevant account information, organizing documentation, updating client files and ensuring materials are accurate, complete and ready.
- Support clients with routine administrative needs, including account changes, documentation, online access and paperless account information.
- Monitor incoming requests, manage competing priorities and follow through on outstanding items to help ensure deadlines and client commitments are achieved.
Requirements
Education and Experience
- 2 years of relevant experience,
ideally within financial services, wealth management, investments or an advisory office.
- Administrative experience supported by post-secondary education or continuing professional development. Office Administration or Financial Services Administration education is an asset.
- Working knowledge of financial and investment products and terminology, with the ability to understand common account and transaction concepts without foundational training.
- Proficiency with Microsoft Office, including Outlook, Word and Excel, and experience with CRM systems are required. Salesforce experience is an asset.

- Strong client service skills with professional verbal and written communication.
- Strong administrative coordination and time-management skills, with the ability to manage paperwork, meeting preparation, client requests, deadlines and competing priorities.
- Sound judgment and a solutions-focused mindset, to determine what can be handled independently, when to investigate or follow up, and when an Advisor needs to become involved.
- Agile and adaptable, to move between detailed administrative work and immediate client needs while maintaining accuracy and professionalism.
- Highly organized and detail-oriented, with a solid commitment to thoroughness when preparing client documentation and supporting account-related activities.
- Personable and collaborative, with a team-first approach.
Compensation
- Competitive salary with bonus structure.
- Full benefits, RRSP matching, vacation, on site gym and parking.
- 8:30 a.m. to 4:30 p.m., Monday to Friday, with occasional flexibility for events, seminars, or personal needs. The firm often works until noon on Fridays in the summer.
