Sister Sophie is one of the leading elite training educational institutes in the Greater Toronto Area. With over 13 years of experience, Sister Sophie has served more than 1,100 students and currently supports over 300 students across Canada and China. Our programs focus on literacy, literature, and critical thinking, helping students build strong academic foundations and long-term learning capabilities.

We are looking for an organized and service-oriented Administrative Assistant to support the day-to-day coordination of our classes, instructors, students, parents, and academic programs.

About the Role

This is a fast-paced role involving a high volume of scheduling, communication, and follow-up. You will work closely with instructors, students, parents, and internal teams to help ensure classes and programs run smoothly across ELG/ELA, SSAT/SAT, Math and other programs offered by Sister Sophie.

Responsibilities

- Coordinate class schedules between students and instructors based on availability, program requirements, and student needs.
- Manage class changes, cancellations, make-up classes, and scheduling conflicts, ensuring timely communication with students, parents, and instructors.
- Support instructor coordination by maintaining updated teaching schedules, availability, class assignments, and other operational information.
- Serve as a key point of contact for students and parents, responding to day-to-day questions regarding schedules, classes, programs, and general student services.
- Follow up with students and parents regarding class arrangements, attendance, program updates,



and other non-academic matters as needed.
- Coordinate with instructors and the academic team when learning or classroom concerns arise, ensuring issues are communicated and followed up in a timely manner.
- Support the day-to-day operation of multiple academic programs, including ELG/ELA, SSAT/SAT, Math and other programs offered by Sister Sophie.
- Assist with student enrollment, class placement, program changes, course transitions, and other program-related coordination.
- Maintain accurate student, instructor, scheduling, and program information across internal systems and communication platforms.
- Greet parents and students onsite, assist with front-desk needs, and direct students to the appropriate classrooms and instructors.
- Respond to incoming phone calls, emails, messages, and other inquiries in a timely and professional manner.
- Work closely with the academic, operations, and administrative teams to ensure classes and programs run smoothly.

Required qualifications

- At least one year of experience in administration, customer service, student services, scheduling, program coordination, or a related role.
- Strong organizational skills, with the ability to manage multiple priorities and respond to time-sensitive requests.
- Solid attention to detail and the ability to identify scheduling issues, inconsistencies, and follow-up needs.
- Strong written and verbal communication skills in both English and Mandarin.
- Comfortable communicating with students, parents, instructors, and internal teams across phone, email, messaging platforms, and in person.




- Able to handle a high volume of communication and scheduling while staying organized and accurate.
- Able to de-escalate complaints and handle challenges professionally.
- Proficiency in Microsoft Office, including Excel and Word.
- Experience attending Canadian high school would be an asset.
- Friendly, responsive, and service-oriented when supporting students, parents, and instructors.

Experience

- Minimum one year of experience in an administrative, customer service, student service, scheduling, or coordination role.
- Experience working in an educational organization, particularly an after-school or academic enrichment environment, is a strong asset.

Education

Post-secondary degree in Business Administration, Management, Education, Communications, Marketing, or another relevant field.
