Position Overview

We are seeking a highly organized, detail-oriented, and service-focused Administrative & Academic Support Coordinator to support day-to-day campus operations, academic administration, instructor onboarding, scheduling, and student services. The successful candidate will serve as an important point of contact for staff, students, instructors, and the public while working closely with Head Office, the HR Manager, the Vice President of Academics & Operations, the Registrar, and other administrative team members.

Duties & Responsibilities

Student Registration & Administrative Support

- Support new and returning student registration, including enrollment changes, add/drop requests, and withdrawals.
- Prepare student communications and official documents, including acceptance letters, transcripts, confirmations, and welcome letters.
- Ensure students receive class schedules, instructor details, classroom expectations, and LMS information in a timely manner.

Student Records & Compliance
- Monitor student attendance, academic progress,



and documentation requirements, escalating concerns as appropriate.
- Collect and maintain required documentation, including Criminal Record Checks, study permits, contact information, and emergency information.
- Prepare student files and records for archival and regulatory requirements, including submissions to the Associate Registrar and PTIRU.

Attendance & Scheduling
- Coordinate class schedules, schedule changes, make-up days, and related academic activities.
- Maintain and monitor attendance records and proactively follow up with students regarding attendance concerns.
- Support initiatives to improve student attendance, participation, and engagement.
- Track work experience attendance and report concerns or non-compliance to the Campus Director.

Learning Management System & Academic Operations
- Create, update, and maintain classes and course information within the LMS.
- Provide basic LMS support and guidance to students and instructors.
- Assist with course and class administration, including ensuring relevant materials and information are available to students and instructors.
- Provide additional student services and academic operations support as required.

Qualifications & Skills
- Previous experience in an administrative, academic, education, or office-support setting.




- Strong organizational and time-management skills with excellent attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong interpersonal and customer-service skills.
- Ability to work independently while collaborating effectively with a diverse administrative and academic team.
- Proficiency with Microsoft Office or comparable productivity software.
- Strong computer skills and the ability to learn and support learning management or administrative systems.
- Experience with scheduling, document management, HR administration, or post-secondary education is considered an asset.
- Demonstrated ability to handle confidential information professionally and appropriately.

General Expectations The successful candidate will be organized, detail-oriented, responsive, and able to manage multiple priorities while maintaining accuracy and confidentiality. Strong communication and coordination skills are essential, along with the ability to work collaboratively with students, instructors, the Registrar, Campus Director, and other departments. Pay: $19.00-$20.00 per hour

Expected hours: 40.0 per week

Ability to commute/relocate
