Chance Administrator (32/hrs per week)
The Psychological Association of Manitoba (PAM) is the provincial regulatory body for the practice of Psychology in the province of Manitoba and is legally constituted to register or certify psychologists to help ensure the safe, ethical practice of psychology in the province.
The Psychological Association of Manitoba (PAM) seeks a highly organized, collegial, multi-tasker to join our small, friendly team as our new Administrator. This position works closely with the Chair of the Complaint Committee, Deputy Registrar and reports to the Registrar.
Key Responsiblilties
- Delivering administrative support to the Complaint Committee and Registration Department
- Complaint Committee meetings: scheduling, agendas, meeting materials, Zoom meeting set up, minute taking
- Processing new complaints including (scanning, creating PDF’s, uploading to secure database)
- Responding to complainants and members concerning status of documentation and status of complaints
- Maintaining complaint files, decisions, filing of internal records, complaint stats and archiving
- Organization of in-person Complaint Committee meetings (lunch, board room booking)
- Compiling documentation from complainants, members, legal counsel and organizing into PDF’s
- Recording Committee member attendance and drafting meeting minutes
- Processing of Committee expenses/honorariums
- Maintaining annual complaint data for annual report
- Processing new appeal of complaints (scanning, creating PDF’s, uploading to secure database)
- Assisting with coordination of annual volunteer luncheon and continuing education events
- Attendance and assistance with monthly council meetings
- Creation of quarterly member e-bulletins
- Providing support to registration staff including fielding queries from potential new applicants
- General admin support (answering phone, mail, communicating with vendors, ordering supplies etc.)
Minimum Qualifications: Completion of an office administrator certification and/or relevant work experience in an office environment.
Technical Knowledge and Experience
- Strong technical abilities and enthusiasm for learning new technologies as they emerge
- Ability to multitask, manage competing deadlines and maintain written and electronic correspondence
- Microsoft Office: Word, Outlook, Excel and Adobe Acrobat Pro
- Experience with databases and/or data entry
- Experience formatting correspondence and letter preparation
- Experience with virtual meeting software (Zoom/Teams)
- Adheres to PHIA requirements, ensuring privacy and confidentiality at all times
- Ability to communicate tactfully and professionally with members, complainants, volunteers and staff
Other duties as required. Duties are subject to change.
Position Details:
Hybrid: Four days per week (one to two days per week in the office required) Flexibility to attend occasional evening meetings required.
Hours: 32 per week. Will be required to work alone on site at times
Rate of Pay: $22-$28/hr dependent upon experience
Vacation: 2 weeks paid annually with one week occurring during December office closure
