As we continue to grow across Canada, we are seeking motivated, relationship-driven individuals to join our Enrollment Team as an Academic Intake Specialist (AIS).

This role is much more than sales.

You will be a trusted advisor, coach, and advocate, helping prospective students navigate an important life decision and take the first step toward a new career.

Position Details

Position: Academic Intake Specialist (AIS)

Location: Calgary, AB

Schedule: Full-Time, In Office

Compensation

- Base wage of $21.00–$23.00 per hour, depending on experience

Position Summary The Academic Intake Specialist is responsible for guiding prospective students through the enrollment process, from initial inquiry through registration. Successful candidates build meaningful relationships, provide exceptional customer service, identify student needs, and confidently help individuals make informed decisions about their education and career goals.

The role requires strong communication skills, attention to detail, consultative sales ability, and a genuine desire to help others succeed.

Key Responsibilities

Student Recruitment & Enrollment

- Serve as the primary point of contact for prospective students
- Guide candidates through the admissions and enrollment process
- Conduct inbound and outbound calls with prospective students
- Build trust and rapport through meaningful conversations
- Explain program offerings, funding options, career opportunities, and enrollment requirements
- Support prospective students in overcoming barriers to enrollment

Relationship Building & Follow-Up

- Develop and maintain strong relationships with prospective students
- Execute timely and consistent follow-up activities




- Maintain momentum throughout the enrollment process
- Utilize student success stories and industry opportunities to inspire prospective students
- Ensure all inquiries receive professional and accurate responses

Sales & Conversion Excellence

- Manage a full enrollment pipeline from inquiry to registration
- Consistently work toward individual and team enrollment goals
- Handle objections professionally and confidently
- Identify opportunities to improve conversion and student engagement
- Maintain a high level of integrity and professionalism throughout the sales process

CRM & Administration

- Maintain accurate and up-to-date records within the CRM system
- Track activities, communications, and enrollment status
- Complete administrative tasks and documentation accurately and on time
- Ensure compliance with internal processes and enrollment procedures

Team Collaboration

- Work closely with Marketing, Registry, Student Services, and Operations teams
- Share market insights and student feedback to improve processes
- Support a positive, team-oriented, and high-performing team environment
- Contribute to ongoing improvements in the student journey and enrollment experience

- Maintain strong CRM discipline and data accuracy
- Build lasting relationships with students and partners

- Act as ambassadors for the IHE brand and student experience

Minimum Qualifications

Required

- 3+ years of experience in sales, recruitment, admissions, customer service, or a similar client-facing role
- 2+ years of administrative experience
- Experience managing customer relationships and follow-up activities
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong communication skills, both written and verbal
- Ability to work independently and as part of a team
- Proven ability to manage multiple priorities while maintaining accuracy and professionalism

Assets

- Experience in education, admissions, recruitment, or training environments
- Knowledge of the heavy equipment, construction, trades, or transportation industries
- Experience working with CRM systems
- Previous experience achieving sales or enrollment targets
