About us
We are an early-stage company helping independent Canadian dental practices bring lapsed patients back to care. We bridge the gap between patients and dentist via personal, unhurried conversations by phone, text and email to understand what kept patients away and help them book their next visit.
The role
Our customer care team is being built now, and we need someone who has worked at a Canadian dental front desk to teach them how it really runs. You will turn your front-desk experience into workflows, scripts and training so our team communicates with Canadian patients the way a good Canadian dental office does.
What you will do
- Document the front-desk workflows the team will support: recall and reactivation booking, cancellations and reschedules, no-show follow-up, treatment-plan follow-up, insurance verification and estimates, preauthorization, intake, and patient payment conversations.
- Partner with the customer care lead to build a Canadian dental glossary, call scripts, and email and SMS templates covering terminology, tone and etiquette, including regional tone across provinces.
- Write financial-explainer scripts for coverage conversations: CDCP co-pay tiers, balance billing, private-insurer coverage, frequency limits and pre-treatment estimates.
- Set a packaging standard for preauthorizations and reconsiderations, including treatment plan details and supporting documents.
- Write empathetic and anxious-patient scripts,
and handle guidance for patients who have avoided care for years.
- Train the team through live sessions, role-play call simulations, and shadowing with feedback, and sign off on agent readiness.
- Review recorded calls and help calibrate QA scorecards.
- Advise on how tasks map to practice management software (PMS) workflows.
- Keep materials current as CDCP and insurer rules change.
- Advise on front-desk privacy and consent practices.
Must-haves
- 5+ years working a Canadian dental front desk, with hands-on scheduling, insurance billing and claims (EDI), and treatment coordination.
- Working knowledge of CDCP and private-insurer processes.
- Hands-on PMS experience (for example Dentrix, Eaglesoft, Open Dental, ClearDent, ABELDent or a cloud system).
- Experience training or onboarding staff as an office manager, lead receptionist or peer trainer.
- Strong written and spoken English, and comfort working with a team across time zones.
Nice-to-haves
- Office manager or treatment coordinator background.
- Recall or patient-reactivation experience.
- Experience writing SOPs or training materials.
- Prior remote contract work.
- French, if we serve Quebec.
- A dental front-desk credential.
Contract | Remote | Canada-based
Commitment: 10-40 hour per week for 6 months(opportunity to go Full time after)
Rate: CAD 40-50 per hour
