Chemical Sales & Office Manager

Position Overview
We are seeking an experienced, motivated, and highly organized Chemical Sales & Office Manager to join our growing team in Toronto, Ontario. This is a versatile position combining B2B chemical sales, customer relationship management, purchasing and logistics coordination, and day-to-day office administration.
The successful candidate will play an important role in developing sales opportunities, maintaining strong relationships with existing customers, coordinating chemical orders and deliveries, and ensuring the office operates efficiently. This position is ideal for someone who is commercially minded, organized, responsive, and comfortable managing multiple responsibilities in a fast-paced business environment.
Key ResponsibilitiesChemical Sales & Business Development
- Develop and maintain strong, long-term relationships with existing customers, distributors, manufacturers, and prospective clients.
- Identify new business opportunities within industrial, manufacturing, construction, food processing, water treatment, and other applicable markets.
- Respond promptly to customer inquiries regarding chemical products, availability, specifications, pricing, packaging, and delivery.
- Prepare quotations, proposals, sales orders, and other customer documentation.
- Follow up on quotations and leads to convert opportunities into sales.
- Understand customer requirements and recommend suitable products based on application, specifications, availability, and commercial considerations.
- Monitor sales activity, customer purchasing patterns, market conditions, and competitor activity.
- Negotiate pricing and commercial terms within established company guidelines.
- Maintain accurate customer and sales information in the company’s CRM or business management system.
- Meet agreed sales objectives and contribute to the company’s overall revenue growth.
- Attend customer meetings, trade events, and industry activities when required.
Customer Service & Order Management
- Serve as a primary point of contact for customers throughout the sales and order process.
- Process customer purchase orders and coordinate order fulfillment.
- Confirm product availability, pricing, quantities, packaging, and delivery requirements.
- Coordinate with suppliers, warehouses, carriers, and customers to ensure orders are delivered accurately and on time.
- Resolve customer concerns, delivery issues, product questions, and order discrepancies professionally and efficiently.
- Maintain accurate records of customer communications, orders, quotations, and follow-up activities.
Office Management & Administration
- Manage daily office operations and ensure administrative activities are completed efficiently.
- Handle incoming calls, emails, correspondence, and general customer and supplier inquiries.
- Prepare invoices, purchase orders, quotations, sales reports, shipping documents, and other business records.
- Maintain organized electronic and physical filing systems.
- Coordinate office supplies, equipment, service providers, and general administrative requirements.
- Assist management with scheduling, meetings, reports, presentations, and special projects.
- Support accounts receivable and accounts payable activities by monitoring documentation, customer balances, invoices, and supplier statements.
- Maintain accurate company, customer, supplier, and product information.
Chemical Compliance & Documentation
- Maintain awareness of applicable Canadian and Ontario requirements relating to chemical products, workplace safety, transportation, storage, and documentation.
- Ensure appropriate Safety Data Sheets (SDS) and product documentation are available to customers as required.
- Maintain familiarity with WHMIS requirements and safe handling practices.
- Work with suppliers and logistics providers to ensure required shipping and regulatory documentation is completed.
- Support company compliance initiatives and maintain accurate records.
- Escalate safety, regulatory, quality, or product concerns to management promptly.
Qualifications & Experience
- Minimum 3–5 years of experience in chemical sales, industrial sales, chemical distribution, office management, or a related industry.
- Experience selling chemicals or industrial products in a B2B environment is strongly preferred.
- Strong understanding of customer service, sales processes, order management, and business administration.
- Knowledge of chemical products, applications, packaging, and industrial markets is an asset.
- Familiarity with WHMIS, SDS documentation, TDG, and Canadian chemical regulations is highly desirable.
- Excellent written and verbal communication skills.
- Strong negotiation, relationship-building, and problem-solving abilities.
- Highly organized with excellent attention to detail.
- Ability to prioritize multiple customer, sales, and administrative requirements.
- Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
- Experience with CRM, ERP, accounting, or inventory-management systems is an asset.
- Valid driver's licence and ability to travel locally for customer visits is an asset.
