Smilestone Dental is a up-to-date, patient-focused dental practice in Vancouver offering comprehensive, cosmetic, restorative, Invisalign, and advanced dental care.

We are looking for a warm, polished, highly organized Dental Receptionist / Patient Care Coordinator to become an important part of our growing team.

This position is ideal for someone who understands that exceptional dentistry is about more than clinical treatment—it is also about making every patient feel welcomed, listened to, informed, and genuinely cared for.

Your Role

As the first point of contact for many of our patients, you will play a key role in representing the Smilestone Dental experience.

Your responsibilities will include

- Welcoming patients with a warm, skilled, and personalized approach
- Managing incoming calls, emails, text messages, and patient inquiries
- Scheduling, confirming, and coordinating appointments
- Managing new patient inquiries and converting inquiries into appointments
- Coordinating treatment appointments and follow-ups
- Managing hygiene recall and reactivation
- Presenting treatment plans and helping patients understand recommended treatment
- Discussing treatment fees, payment options, and insurance benefits professionally
- Verifying insurance and assisting with dental benefit inquiries
- Processing payments and handling billing responsibilities
- Submitting and following up on insurance claims




- Maintaining accurate patient records
- Coordinating communication between patients and the clinical team
- Following up with patients after consultations and treatment when appropriate
- Maintaining a clean, organized, and welcoming reception environment
- Supporting the dentist and clinical team with day-to-day administrative needs
- Protecting patient privacy and maintaining strict confidentiality

Preferred:

- 2+ years of dental reception experience
- Experience with dental insurance and benefit verification
- Experience presenting or coordinating treatment plans
- Knowledge of dental terminology
- Experience with dental practice management software (Tracker)

Experience with Invisalign, cosmetic dentistry, implants, or other elective dental treatments is an asset. We are also open to candidates with strong medical reception or high-end customer service experience who demonstrate the right personality, professionalism, and willingness to learn.

Compensation: Competitive and based on experience
