Position: Event Operations Coordinator

Employment Type: Full-Time

Location: GTA / Hybrid

Travel: Frequent travel across Ontario during festival season

Target Start Date: March 2027

Compensation: CAD $45,000–$60,000/year, depending on experience

About Us

We are a growing festival and cultural events organization producing a series of large-scale food, night market, and cultural festivals across Ontario.

Our annual festival season runs primarily from May through September, with events taking place across the Greater Toronto Area and other cities throughout Ontario.

As we continue to expand our festival portfolio, we are looking for an organized, hands-on, and highly adaptable Event Operations Coordinator to join our core team.

This role is ideal for someone who wants to build a long-term career in event operations and is interested in growing into a Site Manager / Event Operations Manager position.

This is a hybrid role based in the Greater Toronto Area. Frequent travel throughout Ontario is required during festival season, with on-site attendance required for festival setup, event operations and teardown.

Key Responsibilities

Pre-Event Planning & Coordination

- Assist in preparing operational plans for each festival.
- Maintain event master checklists, timelines, schedules, and operational documents.
- Coordinate with vendors, suppliers, contractors, and internal team members before each event.
- Assist with site plans, booth layouts, vendor placement, and operational zoning.
- Coordinate equipment and infrastructure requirements, including tents, tables, chairs, generators, electrical distribution, refrigeration/freezers, signage, fencing, and barriers.
- Confirm supplier schedules, deliveries, setup times, and pickup times.
- Prepare and coordinate vendor load-in and load-out schedules.
- Coordinate schedules for part-time event staff and event crews.
- Maintain event contact lists and other operational documentation.




- Communicate and coordinate effectively with both English- and Chinese-speaking vendors, staff, suppliers, and event partners.

On-Site Event Operations
- Be on-site throughout event setup, operation, and teardown.
- Support and gradually take greater responsibility for overall site setup and vendor placement.
- Coordinate vendor check-in, load-in, and booth placement.
- Direct and coordinate part-time event staff and event crews.
- Monitor site cleanliness, equipment, utilities, and day-to-day operational needs.
- Coordinate with suppliers, contractors, and service providers throughout the event.
- Assist with communication and coordination involving security, first aid, waste management, stage/AV, equipment suppliers, and other service providers.
- Respond quickly and professionally to operational issues and unexpected changes.
- Help maintain safe and efficient pedestrian, vehicle, and vendor traffic flow.
- Support event teardown and ensure equipment, supplies, and materials are properly accounted for.

Post-Event
- Assist with post-event reporting and operational reviews.
- Track equipment, inventory, damages, and missing items.
- Document operational issues and recommend improvements for future events.
- Update SOPs, checklists, and operational procedures based on lessons learned from each event.

What We're Looking For
- 1–3 years of experience in events, festivals, hospitality, venue operations, experiential marketing, or a related field is preferred.
- Strong organizational, coordination, and problem-solving skills.




- Comfortable working in a rapid-paced outdoor event environment.
- Able to manage multiple priorities and make practical decisions under time pressure.
- Strong communication and interpersonal skills.
- Comfortable directing part-time staff, vendors, and event crews.
- Willing to work evenings, weekends, and holidays during festival season.
- Willing and able to travel frequently throughout Ontario.
- Valid Ontario driver's licence is strongly preferred.
- Comfortable working outdoors in varying weather conditions.
- Proficiency with Google Workspace and Microsoft Office.
- Fluency in English and Mandarin Chinese is required, as this position involves frequent communication and coordination with Chinese-speaking vendors, staff, and event partners. Cantonese is considered a strong asset.

High-performing candidates may have the opportunity to take increasing ownership of festival operations throughout the 2027 festival season and independently manage festival sites in future seasons.

Pay: $45,000.00-$60,000.00 per year
